Job description

JOB TITLE : Technical Operations Coordinator

INDUSTRY : Technical Services / Insurance Support / Repairs & Maintenance

Salary / CTC : R 15 000 R 16 000 (Depending on current earnings, qualifications, and experience)

Report to : Quality Controller / Director

Type : Permanent

Key Responsibilities :

General :

  • Answer incoming calls and assist clients at the office with equipment drop-offs for repair

Insurance :

  • Receive and process claims
  • Liaise with clients, advisors, technicians, suppliers, and logistics partners
  • Compile reports and claims documentation bundles
  • Coordinate courier and collection arrangements
  • Process invoices for excess payments and replacement units

Service Level Agreements (SLAs) :

  • Manage and schedule services based on technical availability
  • Process job cards and certificates
  • Prepare quotations, aftersales reports, and invoice bundles
  • Update SLA records and submit to consultants

Technical Admin / Technical Support :

  • Assist with quote preparation and liaising with suppliers
  • Maintain and update registers and asset tracking systems
  • Coordinate document uploads and asset tracking using Xrobotix

Qualifications and Skills :

Qualifications :

  • Matric / Grade 12 minimum
  • Tertiary qualification in Administration, Technical Services, or related field (advantageous)

Skills :

  • Proficiency in Microsoft Office Suite, especially Excel
  • Experience in invoicing, quotations, and document control
  • Strong verbal and written communication skills in both Afrikaans and English
  • Basic technical and financial understanding

Experience :

  • 2+ years in a technical admin, operations, or customer service support role
  • Prior involvement in client liaison and vendor / supplier communication
  • Strong organisational and multitasking abilities
  • Attention to detail and accuracy
  • Professional, discreet, and customer-focused
  • Ability to remain calm under pressure, self-motivated
  • Team-oriented with a proactive approach and dependable

Working Conditions :

  • Office-based with regular interaction with clients, suppliers, and technical staff
  • Occasional travel for collections or client visits may be required (own reliable transport essential)
  • Training provided in technical department for repair verification processes
