Overall Purpose Of The Job
Ensure effective completion of all administration duties pertaining to the area.

Minimum Qualifications And Experience

• Grade 12 or equivalent
• Excellent verbal and written communication skills
• Minimum of 2 years administrative experience
• Computer literate – MS Office
• Experience with Listener – advantageous

Main Duties & Responsibilities

• Collect quotes for the allocated area.
• Check that quotes are on Listener.
• Assign quotes to technicians.
• Prioritize calls to optimize travel time for technicians.
• Schedule jobs efficiently based on capacity and geographic location (servicing and installations).
• Contact clients to schedule appointments and confirm times (including telephone technical bookings and control room booking sheets).
• Assist sales in booking technicians.
• Void aged jobs and provide pipeline figures for installations.
• Assist JHB in sending job cards.
• Prepare BNS and insurance reports.
• Schedule installations for CPT sales.
• Ensure all documents received from OTC are handed to the Technical Manager for technician allocation (including invoice stats).
• Follow up on Top 20, Low Battery, and Overactive lists.
• Resolve scheduling queries immediately and escalate issues when necessary.
• Assist technicians with loading radios and testing.
• Provide EHS assistance.
• Offer technical assistance to clients.
• Follow up on all jobs to facilitate same-day scheduling.
• Support department efficiency by stepping in for absent team members.
• Order, issue, and control stock; assist with stock takes.
• Assist with technical invoicing.
• Distribute service and installation stock to technicians.
