Overall Purpose Of The Job

Ensure effective completion of all administration duties pertaining to the area.

Minimum Qualifications And Experience

  • Grade 12 or equivalent
  • Excellent verbal and written communication skills
  • Minimum of 2 years administrative experience
  • Computer literate – MS Office
  • Experience with Listener – advantageous

Main Duties & Responsibilities

  • Collect quotes for the allocated area.
  • Verify that quotes are recorded on Listener.
  • Assign quotes to technicians.
  • Prioritize calls to optimize technicians' travel time.
  • Schedule jobs efficiently, considering capacity and geographic location (servicing and installations).
  • Contact clients to schedule appointments and confirm times (including telephone technical bookings and control room booking sheet).
  • Assist sales in booking technicians.
  • Manage aged jobs and provide pipeline figures for installations.
  • Assist Johannesburg branch in sending job cards.
  • Prepare BNS and insurance reports.
  • Schedule installations for Cape Town sales.
  • Ensure all documents received from OTC are handed over to the Technical Manager for technician allocation (including invoice stats).
  • Follow up on Top 20, Low Battery, and Overactive lists.
  • Resolve scheduling queries promptly and escalate issues as needed.
  • Assist technicians with radio loading and testing.
  • Provide EHS assistance.
  • Offer technical support to clients.
  • Follow up on all jobs for same-day scheduling.
  • Support department efficiency by covering for absent team members.
  • Order, issue, and control stock; assist with stock takes.
  • Assist with technical invoicing.
  • Distribute service and installation stock to technicians.
