THE JOB AT A GLANCE

As a Team Assistant, you will work closely with the COID & Group Operation's Head of Medical Management and Head of Strategy and Business Integration. Your role will involve supporting them with administrative functions to ensure effective and efficient service delivery.

WHAT WILL YOU DO?

  1. Provide general secretarial support to the assigned Heads
  • Arranging meetings and managing the diaries of the assigned HODs
  • Compiling monthly reports for circulation per agreed timelines
  • Arranging and coordinating departmental meetings as necessary
  • Typing reports, letters, presentations, circulars, and general correspondence
  • Handling and managing departmental queries
  • Travel Arrangements
    • Responsible for end-to-end travel arrangements for the assigned Heads and departments
    • Processing all financial/budget requests for approval
    • Minute taking
    • Drafting agendas for periodic meetings
    • Circulating accurate and timely minutes of meetings
  • General Administrative Duties
    • Following up on deadlines with subordinates via electronic task requests
    • Diarizing committee circulars and deadlines
    • Assisting with budget control
    • Managing departmental documents on SharePoint, including editing, version control, and publishing
    • Uploading month-end reports on SharePoint
    • Booking meeting rooms as requested
    • Ordering stationery
    • Managing invoices and Opex
    • Supporting basic administrative tasks and project logistics
    • Assisting with event management
