Qualifications

  • Exposure to ERP or supply chain management software.
  • Experience supporting compliance, quality control, or audit processes.
  • Demonstrated ability to work collaboratively with cross-functional teams and external vendors.

  • Assist in coordinating day-to-day communication with third-party fulfilment partners.
  • Support the execution of service-level agreements (SLAs) and vendor performance monitoring.
  • Maintain vendor contact records and help schedule regular reviews.
  • Support inventory tracking and data entry to ensure accurate records in supply systems.
  • Collaborate with fulfilment partners to monitor inventory levels and flag discrepancies.
  • Help manage local and international order processing tasks.
  • Contribute to routine operational activities, including order fulfilment tracking.
  • Provide hands-on support in coordinating stock movements.
  • Assist in identifying minor operational bottlenecks.
  • Maintain updated records to support compliance with policies.
  • Assist in audit preparation and follow-up tasks.
  • Support the tracking of KPIs such as order accuracy and delivery timelines.
  • Liaise with internal teams to share fulfilment updates.
  • Provide regular status updates to stakeholders regarding order and inventory status.

Role Context

The Supplies Support role plays a key part in supporting the operational efficiency of third-party fulfilment centres by coordinating supplier relationships, assisting with inventory and order processes, and maintaining compliance with quality and regulatory standards. This role supports the Supplies Specialist in aligning inventory items with global standards and market-specific needs, helping to ensure seamless order fulfilment and improved customer satisfaction.

Key Responsibilities

Vendor & Fulfilment Centre Support

  • Assist in coordinating day-to-day communication with third-party fulfilment partners.
  • Support the execution of service-level agreements (SLAs) and vendor performance monitoring.
  • Maintain vendor contact records and help schedule regular reviews.

    Inventory & Order Coordination

  • Support inventory tracking and data entry to ensure accurate records in supply systems.
  • Collaborate with fulfilment partners to monitor inventory levels and flag discrepancies.
  • Help manage local and international order processing tasks, including documentation and tracking.

    Operational Process Assistance

  • Contribute to routine operational activities, including order fulfilment tracking, dispatches, and returns.
  • Provide hands-on support in coordinating stock movements between warehouses or third-party locations.
  • Assist in identifying minor operational bottlenecks and recommend improvements.

    Compliance & Documentation

  • Maintain updated records to support compliance with company policies and regulatory standards.
  • Assist in audit preparation and follow-up tasks, ensuring proper documentation is available.
  • Ensure fulfilment data is consistently logged and accessible.

    Performance Monitoring Support

  • Support the tracking of KPIs such as order accuracy, inventory turnover, and delivery timelines.
  • Assist in preparing reports on fulfilment performance using data from third-party systems.
  • Log and escalate service failures or repeated issues to the Supplies Specialist.

    Cross-Functional Collaboration

  • Liaise with internal teams (sales, marketing, customer service) to share fulfilment updates.
  • Provide regular status updates to stakeholders regarding order and inventory status.
