Supplier Relations Coordinator Overview:
We are looking for a full-time (40 hours per week) Supplier Relations Coordinator who can support our growing Global Procurement Department. As the Supplier Relations Coordinator, you will have a diverse and varied role. You’ll collaborate with our global teams to support company initiatives and uncover innovative solutions, while taking a proactive approach to your day-to-day responsibilities.
Responsibilities & Duties:
- Deliver full administrative support for TAG’s Procurement teams and coordinate Supplier Relations activities for TAG global offices.
- Organise supplier office visits and agent presentations in liaison with other offices for coordination of availability.
- Communicate supplier events to encourage highest levels of staff engagement and attendance.
- Book accommodation for approved business travel requirements in accordance with company policy
- Maintain a log of Hotel Reward Points (or other such schemes) and allocate towards business travel as appropriate.
- Book function rooms for approved business purposes in line with marketing funds/agreements and departmental procedures.
- Respond to and advise agents with general supplier and ancillary product queries or hotel and ancillary programme training.
- Actively research supplier developments to build strong product knowledge and announce news, e.g., hotel openings etc. to relevant audiences.
- Continuously collect and update preferred supplier details on all applicable systems/databases to ensure accurate and current information is always available.
- QC new hotel load entries, and assist with new data entry loads, edits or updates.
- Update Preferred Suppliers KEYNOTEs and hotels to be put on red alert.
- Adhere to and promote the Preferred Supplier Programme (PSP).
- Assist with annual Request For Pricing (RFP) processes, renewal of supplier agreements, and completion of industry certifications or memberships.
- Process GDS rate loading, share loaded rates with approved hotels, conduct rate audits and action updates in TAGdesktop accordingly.
- Liaise between Finance commissions colleagues and TAG suppliers to enable collection of past/overdue invoices.
- Comply with PCI and Anti-Bribery rules, and log all supplier gifts, favours, value-added benefits etc.
- Collate and analyse data to produce statistical reports for management teams as requested
- Uphold TAG’s reputation for high-quality service levels, promote and represent TAG with full professionalism at all times.
- Develop and strengthen professional relationships with all stakeholders, suppliers and internal or external personnel.
- Be involved with other tasks covering Procurement-specific or other sections of the Commercial department (e.g., new staff training, Account Management, Sales) if necessary.
- Collaborate with Procurement teams for any departmental related issues or projects, and other relevant TAG departments for cross-divisional business activities.
- Share ideas or suggested improvements and assist with any applicable testing or implementations of new systems/databases etc.
- Bring any issues to the immediate attention of the Supplier Relations management team. Escalate anything of significant concern straight to the Procurement Director.
- Perform other duties as may be assigned from time to time.
Qualifications:
- Education to Degree level or higher in related field
- In lieu of education – equivalent combination of education and directly related experience
- Proven administration skills in an organisational environment or other establishment
- Travel management awareness and/or experience of the travel industry
- Strong geographical knowledge
- Working knowledge and/or experience of GDS booking tools
- Competent user of MS Office and other software packages
