Job Description
PRIMARY RESPONSIBILITIES
Responsible for managing all aspects regarding Logistics of samples coming in and administrative functions for the Geochem division. Acts as the first point of contact from sample receipt till samples leave logistics to the lab for analysis.
SPECIFIC RESPONSIBILITIES
- Responsible for the day-to-day Supervision, Coordination and Operation of the Logistics, client interaction, sample receipt, sorting, logging, labeling, tracking, storage of samples.
- Execute job review when samples are received, to ensure instructions are clear and understood before work is profiled in SLIM and any anomalies to be reported to the client liaison coordinator.
- Creating new templates in G6 and annually review of the templates
- Manage and monitor sample movement in sample reception, sample storage, samples returned to client and sample disposal
- Responsible for sample routing, formulating changes, improving workflow and maximum, effective utilization of all resources in the departments
- Manage and monitor logistics staff.
- Responsible for achieving a high degree of project distribution to achieve TAT as per client contracts.
- Responsible to coordinate and motivate a team towards a common goal
- Responsible for maintaining and applying the disciplinary code of the company
- Responsible for building a motivated team, focused on client service, quality and satisfaction.
- Data entry of weights into SLIM where necessary
- Maintain a clean working environment
- Keep relevant communications confidential
- Complies and conforms to the laboratory quality management system (ISO17025 and SANAS)
- Client Liaison, Admin and Logistics Overtime submission sheets must be properly checked (Name, employee number, correct hours claimed) before handing in to HOD for approval.
- Assist in the completion of Production reports.
- Standing in for other Senior staff during his/her absence (meetings, trainings, sick leave & annual leave)
- Adhere to all quality and safety requirements of the SGS management system.
- Perform any other reasonable tasks as assigned by direct line manager.
- Operate to the highest standards of ethics, in accordance with the SGS Statement of Integrity.
COMPLIANCE & AUTHORITY
- Cease the use of any equipment that may be deemed to constitute a safety hazard or enter hazardous environments without the necessary knowledge and protection and report the situation to higher authority to act. Play the STOP WORK card.
- Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to act.
- Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.
- Assist with production coordination with specific collaboration with other section on sample movement
- Assist with the training and verification of Sample Logistics Staff
- Check on daily staff attendance and address any problem timeously and pro-actively.
- Ensure the maintenance of the laboratory equipment, like balances and drying ovens and drying pans.
- To keep all logbooks updated
- Any person has the right to refuse to perform work that may damage the environment in an imminent and serious way and to report such a situation.
Qualifications
Education
- Matric with Math’s and Science.
- Supervisory qualification will be added advantage
Experience
- Minimum 5 years’ experience in the administrative aspects of Geochemical Laboratory Services
- Good understanding of ISO IEC/17025
- Excellent communication skills with good written and speaking ability of English.
- Client Services background would be an added advantage
