Job description

Purpose of the Role: The Raw Material and Packaging Stores Manager is responsible for overseeing the day-to-day operations of the stores department, ensuring the efficient receipt, storage, and dispatching of raw materials and packaging. This role is essential for maintaining the integrity of the supply chain, ensuring that inventory is managed effectively and in compliance with FSSC 22000 standards.

Minimum Requirements:

  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, Business Management, or a related field.
  • A minimum of 3 years’ experience in warehousing and inventory management, preferably within an FMCG environment.
  • Comprehensive understanding of FMCG industry requirements for supply chain processes.
  • Proficiency in Microsoft Office and ERP systems.
  • Valid driver’s license.
  • Strong knowledge of FSSC standards and requirements, with the ability to ensure compliance in all areas of responsibility (advantageous).

Key Responsibilities (But Not Limited To):

Stores Management:

  • Oversee the day-to-day operations of the raw material and packaging stores, ensuring compliance with FSSC 22000 requirements.
  • Ensure the stores are maintained in a clean, organized manner according to company standards.
  • Manage the receipt, storage, and dispatch of raw materials, ensuring timely order fulfillment.
  • Optimize space utilization in the stores.
  • Resolve supply chain issues to ensure timely delivery of raw materials and packaging.

Inventory Management:

  • Maintain accurate inventory levels for raw materials and packaging, conducting regular cycle counts and reconciling with the inventory management system.
  • Minimize the accumulation of obsolete or expired raw materials in accordance with FSSC 22000 standards.
  • Ensure staff adhere to FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) inventory principles.
  • Investigate and resolve discrepancies or issues related to inventory, deliveries, or store operations.
  • Ensure timely dispatch of the correct quantities of materials for production processes.

Document Control and Compliance:

  • Implement and maintain an effective document control system that aligns with FSSC 22000 standards.
  • Ensure accurate and up-to-date documentation (e.g., receiving, inventory, and dispatch records) is maintained and easily accessible.
  • Regularly review and update Standard Operating Procedures (SOPs) to ensure they reflect current practices and comply with food safety regulations.
  • Collaborate with the Quality Assurance team to ensure documentation meets audit requirements.
  • Participate in internal and external audit preparations.
  • Train store staff on proper record-keeping and document control related to food safety.

Staff Management:

  • Manage employee relations within the stores department, ensuring compliance with company policies and procedures.
  • Serve as the primary point of contact for employee concerns, grievances, and disciplinary actions, ensuring compliance with legal requirements.
  • Plan, organize, and oversee the daily activities of the stores team.
  • Conduct performance reviews, set goals, and provide constructive feedback to staff.
  • Manage staffing levels to meet operational needs, including hiring and training new staff.
  • Conduct regular training sessions on stores operations and procedures.
  • Foster a positive work environment that encourages teamwork, accountability, and continuous improvement.

Health and Safety:

  • Ensure all store operations comply with health and safety regulations.
  • Participate in safety audits and risk assessments, implementing corrective actions as needed.
  • Ensure all store staff are trained on health and safety policies and procedures.
  • Maintain compliance with health and safety regulations, in line with FSSC 22000 standards.
  • Lead initiatives to promote a safe working environment and reduce workplace accidents.

Communication and Coordination:

  • Coordinate with other departments to ensure smooth operations and resolve issues.
  • Provide regular updates and reports to senior management on stores and warehouse operations.
