Job description

This position reports to the Pharmacy Manager

PURPOSE:

The Stock Controller will be responsible for managing and maintaining accurate inventory levels to ensure the availability of required stock while minimizing waste and losses. This role involves maintaining stock movements, conducting regular inventory checks, and ensuring proper documentation, communication and compliance with organizational policies. The Stock Controller will play a critical role in optimizing stock flow, ensuring operational efficiency, and contributing to cost control within the organization.

Key Performance Areas:

1. Inventory Control and Management

o Maintain and manage the storage of medicine supplies and equipment to ensure stock is readily

available and organized according to stock control principles.

o Proactively monitor and maintain accurate stock levels of all ethical items, ensuring that there

are no shortages or excess stock.

o Perform regular physical inventory counts, reconciling them with the inventory management

system and escalate issues to the relevant staff member according to organizational policies. o Ensure the integrity of the hospital stock master file to ensure correct codes are used for stock

transactions.

2. Stock Receiving

o Receive ethical and surgical stock from suppliers according to policies, ensuring all items match purchase orders, quantities and no damaged stock is received.

o Accurately and timeously capture stock on the system as per scope of practice and organizational policies.

o Ensure all ethical stock received is properly labelled with the correct barcodes, if applicable, and stored in the appropriate bin locations according to stock control principles.

3. Stock distribution in the hospital

o Ensure that all internal orders are accurately picked, packed and processed on the system. o Ensure that out of stock products are communicated to the relevant staff members.

o Ensure that the stock is timeously collected and checked by the nursing units and correctly

documented.

o Assist in stock management in emergency cupboard.

4. Patient dispensing

o Accurately pick stock for patient scripts if required according to scope of practice.

o Ensure that billing on the patient account is done at the time of issuing and escalate billing issues

timeously to the relevant staff member to ensure that revenue is optimised.

o Ensure that correct codes are used for billing and that the stock issued corresponds to billing.

5. Stock ordering

o Monitor stock levels and place orders at preferred suppliers at appropriate stock levels to avoid

stockouts.

o Maintain supplier relationships and resolving issues related to delivery delays, discrepancies, or quality concerns.

6. Security, Sterility and Compliance

o Ensure compliance with security standards to prevent stock losses.

o Ensure that unauthorised access to the bulk store premises is prevented at all times.

o Ensure compliance with hygiene, sterilization, and safety standards for storing and handling

surgical stock.

o Maintain strict adherence to industry regulations and guidelines to ensure the sterility and

integrity of surgical items.

7. Record Keeping and Documentation

o Maintain accurate records of stock movements, including receipts, issues, and returns of surgical stock.

o Generate reports on stock usage, trends, and shortages to assist with inventory forecasting and procurement.

8. Quality Assurance

o Ensure all surgical stock is stored according to manufacturer guidelines to preserve quality and

minimize waste.

o Regularly inspect the stock for expiration dates, damage, or signs of contamination and take

corrective action where necessary.

9. Operational Efficiency

o Implement and maintain efficient stock rotation systems, such as FIFO (First In, First Out), to minimize waste and ensure the use of older stock first.

o Optimize the storage layout for easy access, ensuring that surgical supplies are easily identifiable and accessible when needed.

o Ensure that bin locations are set up and maintained.

10. Audit and Compliance Readiness

o Ensure the surgical stock bulk store is always ready for audits and inspections, maintaining organized and up-to-date records.

o Assist in internal and external audits, ensuring compliance with regulatory requirements and organizational policies.

11. Cost Control and Waste Minimization

o Monitor stock loss and wastage, implementing measures to reduce waste through careful

inventory management and reporting discrepancies.

o Identify and implement cost-saving opportunities in stock handling, storage, and replenishment

processes.

Requirements:

  1. Minimum of a Grade 12 (Matric) or equivalent qualification.
  2. Basic or Post Basic Pharmacist Assistant qualification
  3. Proven experience in inventory management, preferably in a healthcare or surgical supply environment.
  4. Experience in handling and managing surgical or medical supplies is highly desirable.
  5. Understanding of inventory control systems and procedures, particularly in a medical or surgical setting.
  6. Attention to detail with the ability to track and manage stock accurately.
  7. Must be willing to assist in bulk store if necessary.
  8. Willingness to work flexible hours, including weekends or evenings, depending on operational needs.
