PURPOSE OF THE JOB: We are seeking a skilled Stock Controller to join our Personalization Bureau. The ideal candidate will ensure stock accuracy in alignment with the ERP system, maintain well-structured storage, and accurately record material movements. Additionally, they will manage inventory levels and support production operations to prevent stock-outs. They will need to achieve their job goals by striving for Quality, Trust and Security at all times.
KEY PERFORMANCE AREAS (DUTIES & RESPONSIBILITIES):
The key responsibilities of the position are as follows, but not limited to:
Inventory Management:
- Monitor and maintain accurate inventory levels of raw materials, supplies, and finished products.
- Track inventory using an automated system (ERP) and ensure proper data entry and reporting.
- Perform regular cycle counts and annual inventory audits, reconciling discrepancies in physical counts and system records.
- Coordinate with purchasing and production teams to ensure timely replenishment of stock to meet production demands.
- Ensure procedures are followed to ensure accuracy in stock (audit relevant documents, and comparing it to the ERP).
- Monitor and maintain accurate inventory levels on items not recorded in the ERP.
Warehouse Organization:
- Oversee the organization and safe storage of materials and finished products in the warehouse to maximize space and minimize damage.
- Ensure that inventory is stored following regulatory guidelines for security and compliance, particularly for sensitive materials like personalization components.
- Establish and maintain proper labelling and binning systems to ensure efficient material handling.
Order Fulfillment and Distribution:
- Work with the production team to prioritize inventory allocation to meet customer deadlines and production schedules.
- Maintain inventory levels to meet order requirements.
Warehouse Operations:
- Supervise warehouse staff (if applicable), providing training on warehouse procedures, safety, and inventory management practices.
- Ensure that warehouse operations comply with OSHA and other safety regulations, ensuring a safe working environment.
- Implement lean or best-practice inventory management systems to improve warehouse efficiency and reduce waste.
Communication & Coordination:
- Resolve any inventory discrepancies or issues in a timely manner and report them to management.
- Communicate with vendors, carriers, and other external parties to coordinate deliveries and shipments.
Documentation & Reporting:
- Maintain detailed and accurate records of inventory transactions and any incidents or issues.
- Prepare regular reports on inventory levels, warehouse performance, and shipping accuracy.
- Monitor expiration dates, batch codes, and other critical parameters specific to personalization materials.
- Ensure the FIFO methodology is followed at all times and with all materials.
MINIMUM ACADEMIC QUALIFICATIONS:
- Diploma or Bachelor's Degree in Supply Chain Management, Logistics, or similar qualification.
PROFESSIONAL EXPERIENCE:
- Minimum of 2-3 years of experience in warehouse operations, inventory control, or a related role, preferably in a manufacturing or production environment.
- Experience with warehouse management systems (WMS) or Enterprise Resource Planning (ERP) software is strongly preferred.
- Familiarity with card personalization processes is a plus.
