Purpose of the Role
The purpose of a Stock Clerk is to ensure accurate stock records by conducting random checks, reconciling stock movements, identifying discrepancies, investigating queries, and maintaining the integrity of stock information.
Key Responsibilities
- Ensure that stock movements recorded in the system, such as purchase orders (POs), transfers, invoices, credits, and write-offs, are accurately matched and aligned with the corresponding documentation.
- Verify and reconcile stock movements with actual gate activity, ensuring alignment between received, dispatched, or returned goods and recorded transactions.
- Review and compare stock movements recorded in the system with camera footage to validate accuracy and identify discrepancies.
- Investigate discrepancies between system records, documentation, gate activity, and camera footage, conducting root cause analysis and resolving issues.
- Document and maintain detailed records of reconciliation processes, findings, resolutions, and adjustments.
- Collaborate with purchasing, warehouse, and finance teams to resolve stock movement discrepancies and ensure departmental alignment.
- Review and rectify invoice discrepancies related to stock, ensuring accurate invoicing and financial reconciliation, and communicate corrections to stakeholders.
- Maintain a register of missing and unsigned invoices and ensure timely collection of PODs that do not meet requirements.
- Manage stock adjustments due to damages, discrepancies, or stock age, with proper documentation.
- Conduct stock recounts to validate and correct discrepancies, ensuring accurate inventory records.
- Identify and rectify errors in stock reconciliations, ensuring consistency between physical counts and system data.
- Communicate stock adjustments and discrepancies to relevant stakeholders for resolution.
- Generate reports of outbound movements based on camera footage for accurate record-keeping.
- Investigate and resolve stock queries by cross-referencing footage with records.
- Perform random checks of full loads using camera footage to verify loading accuracy.
- Organize and manage camera footage for easy access during reconciliation and audits.
- Adhere to safety guidelines and use PPE when performing duties.
- Promote a safe work environment and ensure safety compliance.
- Operate within safety standards and participate in team meetings and training sessions.
- Support team goals and contribute to overall operational success.
