PURPOSE OF THE ROLE

The purpose of a Stock Clerk is to ensure accurate stock records by conducting random checks, reconciling stock movements, identifying discrepancies, investigating queries, and maintaining the integrity of stock information.

Key Responsibilities
  • Ensure that stock movements recorded in the system, such as purchase orders (POs), transfers, invoices, credits, and write-offs, are accurately matched with corresponding documentation.
  • Verify and reconcile stock movements recorded in the system with actual gate activity, ensuring alignment with received, dispatched, or returned goods.
  • Review and compare stock movements with camera footage to validate accuracy and identify discrepancies or irregularities.
  • Investigate discrepancies between system records, documentation, gate activity, and camera footage, conducting root cause analysis and resolving issues.
  • Maintain detailed records of reconciliation processes, findings, resolutions, and necessary adjustments.
  • Collaborate with purchasing, warehouse, and finance teams to resolve stock discrepancies, ensuring departmental alignment.
  • Review and correct invoice discrepancies related to stock, ensuring accurate invoicing and financial reconciliation, and communicate corrections to stakeholders.
  • Maintain a register of missing and unsigned invoices and ensure timely collection of PODs that meet requirements.
  • Manage stock adjustments for reasons such as damages or discrepancies, ensuring proper documentation.
  • Conduct stock recounts to validate and correct discrepancies, ensuring inventory accuracy.
  • Identify and rectify errors in stock reconciliations, aligning physical counts with system records.
  • Communicate stock adjustments and discrepancies to relevant stakeholders for resolution.
  • Generate reports of outbound movements based on camera footage for accurate record-keeping.
  • Investigate queries or discrepancies by cross-referencing footage with stock records, providing evidence for findings.
  • Perform random checks of full loads using camera footage to verify loading accuracy and identify issues.
  • Organize and manage camera footage for easy access during reconciliation, queries, or audits.
  • Follow safety guidelines and use PPE to mitigate risks.
  • Promote a safe work environment and ensure safety compliance.
  • Operate within safety standards and participate in team meetings and training sessions.
  • Support team goals and contribute to overall operational success.
