Job description

Hire Resolve’s client, a dynamic and leading construction company recognized for delivering high-quality infrastructure projects, is currently seeking a Site Administrator for a limited duration contract based in Cape Town. This role offers an exciting opportunity to work with a reputable team in the construction sector, supporting operations and ensuring effective administration control on site.

ResponsibilitiesContract Management

  • Consolidate approved timesheets fortnightly for HR submission, including signed leave forms for staff and labour.

  • Manage and control requisitions, ensuring accurate cost allocations, and report potential losses, re-work costs, and anomalies to the Site Agent and Quantity Surveyor.

  • Ensure essential services (IT, electricity, water, and telephone) are functional, monitored, and promptly reported for faults.

  • Continuously update and maintain the asset register, submitting approved updates to Head Office monthly.

  • Facilitate communication between Site, Suppliers, Head Office, and stakeholders by drafting necessary correspondence.

  • Maintain accurate records of all site functions, including drawings, finance, administration, meetings, disciplinary records, site instructions, and claims.

  • Distribute and record drawings for subcontractors in the Drawings Register.

  • Implement effective systems and processes to manage Stores effectively and maintain registers.

  • Assist the Site Agent in controlling plant and equipment deployment using optimal cost control methods.

Management Control and Systems

  • Understand and implement the Group’s SHEQ Policy & Procedures and relevant Codes of Practice, supporting the Safety Officer on site to meet standards.

Reports

  • Compile weekly timesheet reports for the Quantity Surveyor on labour allocations, hours worked, and cost allocations.

  • Assist the Site Agent with compiling and submitting internal and external progress reports.

Stakeholder Relations

  • Maintain and build strong working relationships with all stakeholders.

Requirements
  • Relevant qualification in administration or construction management.

  • Minimum of 10 years of site procurement and clerical work on a construction/building site.

  • Strong understanding of cost control systems, document control, and contract management.

  • Excellent communication and interpersonal skills to liaise with internal and external stakeholders.

  • Knowledge of SHEQ policies and procedures and regulatory requirements.
