Job description

Job Purpose : As a Service Coordinator, you will be responsible for overseeing and managing the delivery of services to clients or customers.

Your primary objective will be to ensure efficient coordination between various teams, including service providers, technicians, and clients, to guarantee timely and high-quality service delivery.

You will serve as clients' main point of contact, addressing their inquiries, scheduling service appointments, and ensuring their satisfaction throughout the service process.

You are responsible for providing resources to complete the services as part of your role, including booking stock in or out, picking stock, and providing stock to courier services.

Duties & Responsibilities:

  1. Deal directly with customers via telephone, electronically, or face-to-face.
  2. Respond promptly to customer inquiries and handle complaints.
  3. Obtain and evaluate relevant information to handle product and service inquiries.
  4. Provide pricing and delivery information.
  5. Perform customer verifications and set up new customer accounts.
  6. Process orders, forms, applications, and requests.
  7. Organize workflow to meet customer timeframes.
  8. Direct requests and unresolved issues to the appropriate resource.
  9. Manage customer accounts and keep records of interactions and transactions.
  10. Record inquiries, comments, complaints, and actions taken.
  11. Prepare and distribute customer activity reports.
  12. Coordinate with internal departments and follow up on customer interactions.
  13. Provide feedback on customer service efficiency.
  14. Log all customer service calls and assign calls to technicians.
  15. Manage stock, including booking out stock, opening and closing sales orders, and updating notes.
  16. Sales orders must be closed within 3 days.
  17. Ensure all sales orders have current notes if not closed.
  18. Provide clients with stock feedback and prepare quotations.
  19. Handle new deals and maintain client records.
  20. Follow up on support calls to ensure client satisfaction.
  21. Scan and file all service and customer documentation.
  22. Assist clients in distant areas, logging calls on their behalf.
  23. Coordinate teams such as Solar, Voice (IT), and Copiers, and request quotations from suppliers.

Education and Experience:

  • High school Diploma (Grade 12).
  • Proficiency in Word, Excel, PowerPoint, and accounting software like Pastel or Sage.
  • Bachelor's degree or short course completion preferred.
  • Bilingual in Afrikaans and English.
  • Experience in customer service, store administration, or call centers.

Training will be provided on the job for up to 6 months, during which employment may be terminated as per employment laws.

Package & Remuneration: R20,000 per month.
