Job Title: Senior Payroll Administrator
A Senior Payroll Administrator is responsible for overseeing and managing an organization's payroll operations.
This includes ensuring that employees are paid accurately and on time, complying with relevant labor laws, and managing payroll systems and records.
The role involves coordination between various departments such as HR and finance, and may require a strong understanding of tax laws, benefits administration, and financial regulations.
Key Responsibilities
- Payroll Processing: Process monthly payroll for salaried and hourly employees across multiple jurisdictions. Review and audit payroll data for accuracy, completeness, and compliance. Ensure correct deductions (e.g., taxes, benefits, retirement contributions) are applied. Process adjustments for bonuses, overtime, and commissions. Manage terminations and severance packages. Distribute electronic payslips. Manage sign-off sheets with executives. Manage third-party payments (e.g., Provident Fund, Medical Aid, Garnishees).
- Compliance and Reporting: Prepare and maintain payroll reports, including headcount reports and labor cost analyses. Manage auditing processes and provide relevant information to auditors.
- Payroll Systems and Records Management: Oversee payroll software, ensuring data accuracy. Manage employee payroll records. Implement and update payroll procedures. Generate IRP5s/IT3s and upload to ESS system.
- Collaboration and Communication: Work with HR, Finance, and other departments to resolve payroll issues. Communicate with employees regarding payroll inquiries. Support HR with salary changes, promotions, and benefits deductions.
- Benefits Administration Support: Support employee benefits management, including payroll deductions. Work with providers for health insurance, Provident Fund, and retirement. Assist with disability claims, unemployment claims, and maternity packs.
- Adhoc Duties: Support clerical tasks related to payroll/HR. Manage intern payrolls. Assist with long service awards.
Qualifications and Skills
- Education: Bachelor's degree in accounting, finance, business administration, or related field (preferred).
- Experience: 3-5 years in payroll processing, including senior roles.
- Skills: Knowledge of payroll regulations, tax laws, benefits administration; proficiency in payroll software (e.g., VIP Premier, Simple Pay); analytical, problem-solving, communication, and interpersonal skills; attention to detail and confidentiality.
