Job description

Our client, a leading logistics and trading firm based between Stellenbosch & Brackenfell, is seeking a skilled Senior Logistics Controller - Clearing and Fowarding to manage import / export processes and customs clearances across multiple ports.

Job Summary

Our client requires a detail-oriented professional to process Import / Export Bills of Entry, coordinate customs clearances, manage shipment documentation, and ensure compliance with regulations. The role involves working with Trading and Logistics teams, preparing invoices in FUSION, handling deferment payments, and managing month-end invoicing. Operating from the Western Cape, you’ll support Cape Town, Port Elizabeth, East London, and Richards Bay, requiring strong technical, analytical, and communication skills to thrive under pressure.

Principal Duties and Responsibilities

  1. Frame and process Import / Export Bills of Entry, coordinating clearances for all ports and customs branches.
  2. Liaise with Trading and Logistics to obtain ETA, shipment documents, discharge quantities, and US Dollar FOB / Freight values for clearance and invoicing.
  3. Prepare Supplier Commercial Invoices in FUSION per Port of Discharge, ensuring Logistics review and authorisation.
  4. Open and maintain vessel files for clearing documents and records.
  5. Cape Town / Port Elizabeth / East London: Frame Bills of Entry in Durban, submit electronically to Customs Cape Town under Importer’s Deferment, and instruct agents to collect SARS Release Notifications, pass / adjust Landing and Cargo Dues Orders, and coordinate with Agriculture, Port Health, and SABS.
  6. Durban / Richards Bay: Frame and submit Bills of Entry to Customs Durban, collect / file SARS Release Notifications, process clearances with relevant departments, email documents to terminals, and pass Cargo Dues Orders via Ports Online System (no Landing Order for “Leased Hold” cargo).
  7. Exports: Frame entries in Durban and facilitate cargo movement, adapting import processes as needed.
  8. Deferment Payments: Process payments (up to R35m Duty, R15m additional Duty, 1 billion VAT) for Durban / Cape Town 1-2 days before due dates (1st monthly), using FUSION. Authorise via Logistics, forward to Accounts, and update Customs systems to avoid 1.5% interest penalties. Notify Accounts 3-5 days prior, with March Year-End payments split (20th-24th, 29th-31st).
  9. Permits and Compliance: Apply for permit renewals / new permits (Agriculture and others), process payments for permits, customs, Plant / Health Departments, ACS, and related fees via FUSION. Maintain updated Customs legal texts (Tariff Book, Customs & Excise Act, etc.) for regulatory compliance.
  10. Month-End: Raise AR / AP invoices for products uplifted by month-end and assist Vessel Accounts with queries.

Knowledge, Skills, and Abilities Required

  • 5–10 years of industry-specific experience in clearing and forwarding, ideally in agricultural commodity trading or bulk logistics, with a proven track record of managing customs control.
  • Extensive network of industry relationships with customs authorities, regulatory bodies, and logistics stakeholders to facilitate smooth operations.
  • Deep knowledge of local and international customs clearing procedures, regulations, and ACS (Automated Cargo System), with expertise in compliance and tariff management.
  • Strong leadership and mentoring skills to guide junior team members and drive team performance.
  • Exceptional oral, written, and interpersonal communication skills to build and maintain stakeholder relationships.
  • Advanced numeracy, analytical, and technical skills for financial and logistical problem-solving.
  • Proficiency in Microsoft Excel, Word, Outlook, and FUSION software for invoice preparation and payment processing.
  • Ability to multitask, meet strict deadlines, and thrive in a high-pressure environment.
  • Strong understanding of transportation logistics, silo / location handling, and execution of bulk commodity sales contracts.
  • Exceptional attention to detail and a proactive, innovative mindset to optimise customs and logistics processes.
  • Willingness to work overtime and weekends when required, demonstrating commitment to operational excellence.

Qualifications

  • Relevant tertiary qualification in Logistics, Supply Chain Management, or related field (preferred).
