Job description

Reporting into the Manager within the Governance, Control and Change pillar of the Institutional Client Services Fund Operations team, the Senior Administrator will primarily support ICS fund operations quality assurance initiatives and other operational governance and control activities. Main responsibilities include supporting and monitoring adherence to the QA programme, assisting the Manager with MI reporting, testing solutions, project tracking, and B&E action follow-up.

The post holder will help establish a quality assurance program within ICS Fund operations, perform quality control testing on operational changes, new business onboarding, and governance or control items within ICS Fund operations.

Additionally, the Senior Administrator will assist with B&E root cause analysis, risk management activities, and operational MI reporting, including analysis to support risk and oversight committees.

In specific situations, the Senior Administrator may be assigned to assist with various tasks on ICS Fund projects and strategic initiatives.

MAIN RESPONSIBILITIES AND DUTIES

KEY DUTIES :

  • Perform internal quality assurance testing to ensure the goals of the ICS Fund operations QA program are achieved, maintaining service excellence and a robust control environment.
  • Assist with root cause analysis on B&E and operational events, monitoring resolution action points until completion.
  • Collate Fund operations MI data and prepare monthly and quarterly reports, supporting automation and efficiency initiatives.
  • Participate in projects related to quality assurance, risk management, operations, and compliance.
REPORTING AND TRACKING :
  • Analyze, review, document, and approve QA testing and reporting activities.
  • Provide MI reporting and updates on tasks and initiatives.
  • Create updates on QA testing and initiatives for internal communications and presentations.
  • Present QA updates to staff, stakeholders, and Directors as needed.
  • Monitor and track remedial actions from root cause analyses to completion.
DOCUMENTATION :
  • Maintain QA documents and training materials.
  • Update documentation in line with new policies and procedures.
  • Assist in creating business cases for efficiency or automation initiatives.
COLLABORATION AND TEAMWORK :
  • Work with jurisdictional teams for QA testing and root cause analysis.
  • Facilitate communication across stakeholders and seniority levels within ICS teams.
ESSENTIAL REQUIREMENTS
  • Experience in audit, risk, or compliance within Fund Services or Thematic Testing, or a Junior Fund Accountant aiming for an operational role.
  • High accuracy and attention to detail.
  • Strong documentation, communication, and organizational skills.
  • Analytical and critical thinking skills.
  • Team-oriented attitude.
  • Minimum 3 years’ experience in Financial Services.
  • Understanding of Investment Administration (advantageous).
  • Proficiency in Microsoft 365 applications.
  • Familiarity with systems like Investran, InvestOne, Viewpoint, PureFunds (advantageous).
