Description
We are seeking a highly experienced and proactive Senior Administrator to join Apex’s Corporate Services team. The role requires a motivated individual with strong technical expertise and leadership skills who can manage complex processes, provide mentorship to junior team members, and contribute to the strategic success of the department.
The candidate will have direct responsibility for servicing a large portfolio of offshore based clients and will work closely with the management team.
Job specification
Responsibilities include, but are not limited to performing and coordinating a variety of administrative duties and tasks including:
- Client Portfolio Management: Take full ownership of a diverse client portfolio, overseeing all aspects of administration, company secretarial matters, and governance, while maintaining the highest professional standards.
- Leadership and Mentorship: Provide daily guidance and on-the-job training to junior staff, acting as a first reviewer of their work and fostering their professional development. Lead team training sessions on agreed topics to upskill team members.
- Compliance and Statutory Expertise: Ensure all statutory filings and registers (e.g., Register of Members, Register of Directors) are accurately maintained and filed within regulatory deadlines. Monitor and implement governance and reporting procedures tailored to client structures.
- Board Meeting Oversight: Take full responsibility for the end-to-end board meeting process, including the preparation of board packs, telephonic attendance, timely signing of minutes, and updating action point logs. Ensure follow-through on all action points in alignment with pre-agreed deadlines.
- Project Leadership: Drive the coordination and execution of recurring and ad-hoc projects, collaborating across departments to ensure successful delivery within strict timelines.
- Client Service Excellence: Act as the main point of contact for high-profile clients, proactively resolving complex queries and delivering exceptional service in line with client expectations.
- Operational Efficiency: Oversee operational workflows, including subscription, redemptions, and transfers, ensuring timely completion in alignment with Service Level Agreements (SLAs).
- Billing and Financial Oversight: Manage the billing process for assigned clients, identifying opportunities for additional services outside of standard fee agreements to enhance revenue.
- AML/KYC and Bank Coordination: Oversee bank account openings and ensure compliance with AML/KYC requirements, demonstrating expertise in regulatory obligations.
- Audit and Financial Statements: Collaborate with accountants to coordinate audits and ensure timely filing of annual statutory financial statements.
- Stakeholder Engagement: Build and maintain strong relationships with clients, fund managers, and senior leadership, acting as a trusted advisor and source of guidance for team members.
- Adaptable Support: Step in to support team members and division-wide initiatives as needed, always acting in the best interests of the team.
Skills Required
- Minimum of 3 years of experience in a fund administration role or relevant experience within financial services or law.
- An LLB, BCom, Corporate Governance, Compliance or a relevant qualification is essential.
- Experience in corporate solutions, fiduciary services, legal work, or in-house company secretarial roles would be advantageous.
- Being an admitted attorney will further strengthen your application.
- Advanced skills in Microsoft Office applications (Word, Excel, Outlook).
- Knowledge of regulatory environments in fund management and company law. Familiarity with corporate governance and AML requirements is advantageous.
- Proven ability to mentor and guide teams, with a strong track record in managing projects and delivering exceptional results.
- Exceptional multitasking abilities, attention to detail, and accuracy, ensuring efficient execution of responsibilities across jurisdictions.
- Ability to source and interpret complex data from multiple channels to drive informed decision-making.
- Outstanding written and verbal communication skills to engage with clients, team members, and stakeholders confidently and professionally.
- Skilled at working within cross-jurisdictional teams, fostering a cooperative and adaptable environment.
- Solution-oriented approach with the ability to implement process improvements and drive operational efficiency.
- Deep understanding of statutory regulations, corporate governance practices, and fiduciary.
