Keller Executive Search is seeking a highly organized and experienced Senior Administrator to provide comprehensive administrative support to our executive team and contribute to the smooth operation of our executive search practice. This role offers the opportunity to work in a dynamic, fast-paced environment while supporting high-level client engagements and executive placement processes.
Responsibilities:
- Provide executive-level administrative support to senior partners and consultants, including complex calendar management, travel coordination, and meeting preparation
- Manage confidential client information and executive candidate data with the highest level of discretion and professionalism
- Coordinate client meetings, interviews, and assessment sessions, ensuring seamless logistics and professional presentation
- Prepare and format comprehensive reports, presentations, and client deliverables to executive search standards
- Maintain and update candidate databases and client relationship management systems with accuracy and attention to detail
- Handle sensitive correspondence and communications on behalf of senior staff members
- Coordinate domestic and international travel arrangements, including complex itineraries and expense management
- Manage office operations including vendor relationships, facilities coordination, and administrative systems
- Support new client onboarding processes and maintain organized filing systems for active searches
- Assist with research and market intelligence gathering to support executive search projects
- Coordinate board meetings, client events, and industry networking functions
- Bachelor's degree preferred or equivalent combination of education and experience
- Minimum 5-7 years of senior-level administrative experience, preferably in professional services, consulting, or executive search
- Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and database management systems
- Experience with CRM systems and candidate tracking platforms strongly preferred
- Exceptional organizational skills with proven ability to manage multiple priorities and deadlines
- Outstanding written and verbal communication skills with professional presentation abilities
- High level of emotional intelligence and interpersonal skills for client and candidate interactions
- Demonstrated ability to handle confidential information with complete discretion
- Strong problem-solving skills and proactive approach to anticipating needs
- Flexibility to work outside standard business hours when required for client needs
- Professional demeanor suitable for interaction with C-level executives and board members
