POSITION REQUIREMENTS
- Manage AtTheGate access system back end functions
- Daily Management of all Smart sheet functions
- Filing of all paperwork
- Night report compilation & email to be sent out daily
- Management of daily attendance record & email daily
- Arranging nonspecific Polygraph tests for various branches
- Managing security officer timesheets
- Compilation of weekend planned work schedule
- Validate all security supplier / vendor invoices and arrange approval in conjunction with procurement and finance teams

- Generate monthly costings report for security
- Fleet Logbook capturing & submission of escort trip sheets to HR for reimbursement
- Ordering all items / uniforms for the security department via requisition manager
- Generating ADHOC requests via procurement
- Managing department PSIRA list and ensuring all security employees are compliant
- Managing security daily task roster and ensuring it is kept up to date
- Generate quarterly polygraph costings spreadsheet and analysis
- Generate monthly security audit consolidation
- Daily management of credit note spreadsheet & savings tracker, in conjunction with procurement / creditors
departments
- Validate vendor security officer overtime sheets and send for approval
- Submit security department C works requests and follow up to completion
- Maintain and keep up to date regional second-hand goods / recycling certifications
- Generate security customer numbers, in conjunction with reception
- Managing regional department AOD / leave requests
- Maintaining security stock in conjunction with procurement and quarterly stock count
- Record minutes of meetings
- Maintain branch keys list
- Maintain daily alarm notifications summary report
- Maintain daily offsite monitoring summary report
- Tracking and monitoring of company vehicles
QUALIFYING EXPERIENCE
- Grade 12
- Minimum of 2 years’ experience in an administrative role
- MS Office knowledge - intermediate level
- AtTheGate knowledge would be advantageous
- Smartsheets knowledge would be advantageous
- Fluent in English - read, write and speak
