Job summary
A leading organization in the security sector seeks a dedicated Administrative Officer to oversee daily operations and support the finance team. Qualifications
- Minimum of 2 years’ administrative experience.
- Intermediate MS Office skills required.
- Fluent in English (reading, writing, speaking).

POSITION REQUIREMENTS
- Manage AtTheGate access system back end functions
- Daily management of all Smartsheet functions
- Filing of all paperwork
- Compile night reports & email them out daily
- Manage daily attendance records & email updates
- Arrange nonspecific Polygraph tests for various branches
- Manage security officer timesheets
- Compile weekend work schedules
- Validate security supplier/vendor invoices and coordinate approval with procurement and finance teams
Finance Teams
- Generate monthly security cost reports
- Capture fleet logbook data & submit escort trip sheets to HR for reimbursement
- Order items/uniforms for security via requisition manager
- Generate ADHOC procurement requests
- Manage security PSIRA compliance list
- Maintain and update security daily task roster
- Generate quarterly polygraph cost analysis
- Consolidate monthly security audits
- Manage credit notes & savings tracker with procurement and creditors
Departments
- Validate vendor security officer overtime sheets for approval
- Submit security department C works requests and follow up
- Maintain regional second-hand goods/recycling certifications
- Generate security customer numbers with reception
- Manage regional AOD/leave requests
- Maintain security stock levels with procurement & conduct quarterly stock counts
- Record minutes of meetings
- Maintain branch keys list
- Maintain daily alarm notifications summary report
- Maintain daily offsite monitoring report
- Track and monitor company vehicles
QUALIFYING EXPERIENCE
- Grade 12
- Minimum of 2 years’ administrative experience
- Intermediate MS Office skills
- Knowledge of AtTheGate (advantageous)
- Knowledge of Smartsheets (advantageous)
- Fluent in English (reading, writing, speaking)
