Job Description
Position Requirements
- Manage AtTheGate access system back end functions
- Daily management of all Smartsheet functions
- Filing of all paperwork
- Compile night reports and email them out daily
- Manage daily attendance records and email updates
- Arrange nonspecific polygraph tests for various branches
- Manage security officer timesheets
- Compile weekend work schedules
- Validate all security supplier/vendor invoices and coordinate approval with procurement and finance teams
- Generate monthly security cost reports
- Capture fleet logbook data and submit escort trip sheets to HR for reimbursement
- Order items and uniforms for the security department via requisition manager
- Generate ADHOC requests through procurement
- Manage the security department's PSIRA list and ensure compliance
- Maintain and update the daily security task roster
- Generate quarterly polygraph cost analysis spreadsheet
- Consolidate monthly security audits
- Manage credit notes and savings tracker in collaboration with procurement and creditors
Departments
- Validate vendor security officer overtime sheets and submit for approval
- Submit security department work requests and follow up until completion
- Maintain regional second-hand goods and recycling certifications
- Generate security customer numbers with reception
- Manage regional department AOD and leave requests
- Maintain security stock levels with procurement and conduct quarterly stock counts
- Record minutes of meetings
- Maintain branch keys list
- Maintain daily alarm notifications and offsite monitoring reports
- Track and monitor company vehicles
Qualifying Experience
- Grade 12
- Minimum 2 years' experience in an administrative role
- Intermediate knowledge of MS Office
- Experience with AtTheGate is advantageous
- Experience with Smartsheets is advantageous
- Fluent in English (reading, writing, speaking)
