Secretary Senior - Mergers and Acquisitions

Responsible for performing administrative, legal secretarial, and related duties, providing skilled legal assistance to the head of the practice group and/or their team.

Experience and Qualifications
  • Senior Certificate
  • Paralegal Diploma or short legal courses advantageous / or qualified by experience
  • 5 to 10 years legal secretarial experience, specifically in Corporate law
  • Advanced knowledge of MS Office package
  • Experience in a legal accounting package essential
Key Accountabilities
  1. Act as first point of contact: Liaise with internal and external contacts, supporting the executive with duties and responsibilities. Handle calls with confidentiality and discretion.
  2. Connecting people: Communicate effectively internally and externally, screening calls and managing communication to ensure messages are conveyed properly.
  3. Diary Management: Organize and maintain calendars, schedule appointments, and prepare the executive for meetings and events.
  4. Document Generation: Produce high-standard documentation and presentations, ensuring accuracy and adherence to style guides.
  5. Office Administration / Management: Support department operations, manage filing systems, emails, and coordinate planning sessions. May supervise junior staff.
  6. Travel Arrangements: Make cost-effective travel arrangements, prepare itineraries, and manage travel documentation and visas.
  7. Meeting Support: Prepare for meetings, conduct background research, and handle post-meeting follow-ups.
  8. Finance Administration: Assist with budgeting, track expenses, reconcile accounts, and support billing processes.
  9. Relationship Building: Develop and maintain professional relationships within the team and with vendors, ensuring quality service.
  10. Additional Skills: Attention to detail, communication skills, initiative, problem-solving, resilience, and writing skills.
