Terms of Reference (TOR): Salesforce Support Consultant

Background and Context

Salesforce is a critical platform used for end-to-end BD (Business Development) grant, awards, and contract management, playing a key role in our operational excellence.

Purpose of the Consultancy

The objective of this consultancy is to provide specialized Salesforce support to augment VillageReach's current capacity, optimize business processes, and enhance system integrations to ensure long-term organizational success.

Responsibilities

  1. Provide operational support to effectively resolve Salesforce tickets.
  2. Optimize BD and grant/award management processes and their implementation on Salesforce.
  3. Support the implementation of change management initiatives.
  4. Facilitate the integration of Salesforce with other systems, including Sage.
  5. Advise on Salesforce's product roadmap, best practices, and opportunities to enhance process automation, including adopting AI-driven insights.
  6. Build internal capacity through training and knowledge transfer to ensure long-term sustainability.

Scope of Work

The consultant will support:

  1. Business Development Opportunity Module Customization
    1. Add custom fields to capture necessary information related to gifts.
    2. Define record types for various donation scenarios.
    3. Automate key processes such as creating follow-up tasks for major gifts.
    4. Customize the Opportunity stages to reflect the donor lifecycle.
    5. Design and implement custom reports to track gifts.
  2. Grants Management Module Customization
    1. Create custom fields to capture essential grant data.
    2. Define custom workflows to align with the grant lifecycle.
    3. Create customized reports to track active grants.
    4. Integrate the Grants Management module with the Opportunity module.
  3. User Training & Support
    1. Offer post-implementation support for troubleshooting and minor adjustments.
    2. Provide targeted training based on user roles.

Deliverables

  1. A detailed work plan outlining key activities and timelines.
  2. Regular status updates and issue resolution reports.
  3. Comprehensive documentation of configurations, integrations, and customizations.
  4. Final training and capacity-building materials.
  5. Recommendations for leveraging AI and process automation.

Requirements

Consultant Requirements:

  1. A minimum of 5 years of experience working with non-profit organizations.
  2. Proven expertise in end-to-end award/grant management.
  3. Broad understanding of BD, grants, and contracts processes within non-profits.
  4. Salesforce certification and training credentials.
  5. Relevant technical and business education qualifications.
  6. Demonstrated experience in technical project implementation and analytics.
  7. Strong understanding of change management and stakeholder engagement.

Duration and Contracting Model

The consultancy is expected to last for a period of 3-6 months with deliverable-based contracting, starting from February.
