Overview of position
The Sales Support Administrator is a critical role responsible for supporting the sales team, managing customer relationships, and enabling efficient sales operations. This position involves administrative tasks, customer service, internal coordination, and professional development to prepare for potential advancement to a Sales Representative role. This role will report to the Sales Manager and may require occasional extended hours during peak operational times.
Job Description
Role and Responsibilities
- Sales Support Administrator
- Prepare and issue customer quotations, follow up on sales orders, and delivery instructions with accuracy and efficiency.
- Maintain an up-to-date sales database, including pricing, customer details, and sales history (CRM system).
- Assist the sales team in preparing customer proposals, tenders, and presentations.
- Coordinate with logistics and operations to track LPG deliveries and resolve service issues.
- Generate weekly and monthly sales and customer activity reports.
- Customer Relationship Support
- Serve as a point of contact for routine customer communications, queries, and account updates.
- Assist with onboarding new customers and ensure KYC, safety declarations, and trading contracts and terms are completed, signed and filed.
- Follow up on quotations, outstanding payments, and order confirmations.
- Ensure customers receive consistent, professional, and timely service.
- Internal Sales Enablement
- Support the Sales Manager in the planning and execution of sales campaigns.
- Monitor KPIs such as monthly sales volumes, customer turnaround times, and quotation-to-sale conversions.
- Liaise with internal departments to ensure alignment on pricing, delivery, and account status.
- Participate in trade shows, events, and promotional initiatives as required.
- Learning & Development
- Engage in ongoing product knowledge and LPG safety training.
- Shadow sales representatives on selected site visits and field engagements.
- Demonstrate sales potential, product mastery, and customer engagement ability in preparation for promotion to Sales Representative.
Qualifications and Education Requirements
Education & Qualifications
- Matric (Grade 12) – essential.
- Qualification in Sales, Marketing, or Business Administration.
Preferred Experience
- Minimum 1–2 years’ experience in a sales support, administrative, or customer service role.
- Experience in the LPG, energy, or industrial services sector is an advantage.
- Skills & Competencies.
- Intermediate to advanced skills in Microsoft Office Suite.
- Ability to use VLOOKUP, Pivot tables, and Filters.
- Familiarity with CRM systems and sales platforms.
- Excellent communication, time management, and organizational skills.
- Strong interpersonal skills and a team-oriented mindset aligned with Falcon Gas’s service values.
- Strong problem-solving ability with a proactive attitude.
- High attention to detail and ability to work under pressure.
Please note this role has the following working hours:
Monday to Friday 8 AM – 5 PM
Saturday 8 AM - 1 PM
May require occasional extended hours during peak operational times.
