Sales Administrator
Job description
A well-established company on the East Rand is looking for a Sales Administrator to join their team!
Requirements:
- Matric or equivalent qualification
- 2 years’ experience in a Sales Administrator or similar role
- Experience with fiber advantageous
Duties:
- FTTH / FTTB Application Processing
- FTTH / FTTB Applications
- Manage the "Unassigned" queue on the ticketing system
- Assign incoming sales to the appropriate sales representative
- Ensure all required documents are collected
- Perform credit vetting
- Prepare the application, supporting documents and Credit Report for approval
- After approval, create the customer profile in Sage
- Generate a new order to begin installation
- Regrades
- FTTH / FTTB Regrades:
- Assist customers with upgrades or downgrades via phone, website, or ticketing system
- Provide the customer with the necessary link to choose a package
- Save the completed form
- Update the package in the network management system
- Confirm with the customer that their package change is complete
- Record the change in the Google Sheets upgrade/downgrade log
- Close the ticket in the system
- Receive completed quotes from FTTB sales reps
- Update the package in the network management system
- Update the ticketing system
- Assign the ticket to the Accounts Department for further processing
- Cancellations
- Assist customers with cancellations via phone, website, ticketing system, or referrals from other departments
- Send cancellation forms (FTTH) or PDFs (FTTB) to customers
- Once the cancellation request is received, update the network system with the cancellation date
- Save cancellation requests
- Create tickets for router collection
- Send cancellation confirmation emails to customers
- Update the cancellation report in Google Sheets
- Close the cancellation ticket in the system
- Retentions
- Help retain clients by addressing their cancellation reasons and finding resolutions
- Update Google Sheets with retention details
- Customer Queries
- Update client information upon request
- Send invoices and statements to customers
- General Responsibilities
- Assist the outbound sales team with administrative tasks
- Ensure all tickets are attended to in the ticketing system
- Help the internal sales team with incoming calls
- Collaborate with the Client On-Boarding Department to ensure timely activation of FTTH clients
- Conduct after-sales satisfaction surveys
- Assist the Sales Manager with daily and monthly reports on new clients, renewals, regrades, retentions, cancellations and queries
- Help the Systems Analyst with network management software issues
- Support the Finance Department with failed collections and client banking details updates
- Order office supplies
- Keep filing systems up to date and store new contracts on the T-Drive
- Ensure the storeroom is tidy and secure
- Provide reception support when needed
