Job description

Optimi requires the services of a proactive Sales Administrator to support our sales team by ensuring documents are accurately compiled, implementing quality assurance steps, and facilitating seamless student registration processes. You must be motivated, people-oriented, excel in administrative support, and be willing to work in a high-paced environment.

REQUIREMENTS
  • Grade 12 or equivalent (Essential)
  • Diploma in a related field (Advantageous)
  • 2–3 years’ experience in sales administration, data capturing, or call centre environments
  • Proficient in MS Office (Essential)
  • Experience with CRM/sales platforms (Advantageous)
  • Fluent in English
  • Proficiency in another official South African language is a plus
DUTIES
  1. Support Educational Planners with documents and lead allocation.
  2. Manage lead tasks such as reallocation, tracking, and follow-ups.
  3. Provide feedback to management and maintain sales meeting records.
  4. Assist with internal ticketing, task prioritisation, and incentive tracking.
  5. Ensure balanced task distribution across the sales team.
  6. Communicate registration processes and policy changes to students.
  7. Follow up on enrolment documents (IDs, registration forms, Matric certificates, etc.).
  8. File documents accurately and maintain data integrity.
  9. Capture enrolments and trial courses on relevant platforms (e.g., SkillSoft).
  10. Draft and issue proof of registration letters.
  11. Perform quality checks on client interactions and sales compliance.
  12. Monitor and manage DebiCheck mandates and cancellations.
  13. Verify form and data accuracy.
  14. Escalate system or quality issues proactively.
  15. Create and update course bundles and product info (SkillSoft).
  16. Coordinate with Marketing and Academics to verify online course details.
  17. Maintain course FAQs and support documents.
  18. Respond accurately and promptly to client inquiries.
  19. Ensure high client satisfaction via emails, calls, or tickets.
  20. Facilitate collaboration between front- and back-office teams.
  21. Log and follow up on IT or system tickets.
  22. Perform other administrative tasks as needed.
