The purpose of this job is:
Responsible for assisting in the management of the property. Assist in ensuring maximum income of the property through effective property management. Assist in the development of related budgets, oversee leasing contracts, procure services, handle third-party service contracts, and direct maintenance procedures. Ensure that all buildings, grounds, and equipment are well maintained and in optimal working condition. Implement departmental and procurement policies and procedures, ensuring all operations comply with established health and safety regulations. Ensure purchased services meet quality standards in line with procurement policy. Attend to student queries and keep management informed of activities and significant issues.
Primary Duties and Responsibilities
Job Requirements:
- Manage the effective operation of property and related facilities.
- Student management: Engage students regarding needs and evaluations.
- Develop and implement standard procedures for crises related to student care, housing, and services.
- Assist with leasing, application, intake, vacate processes, site coordination, compliance, student life programs, event management, inspections, key handover, and student mentoring.
- Manage building systems, relationships with stakeholders, repairs, refurbishments, inspections, and site compliance.
- Maintain asset registers, meter readings, manage subcontractors, and oversee maintenance and audits.
- Negotiate leases and renewals, prepare lease documents, and track documents until completion.
- Ensure accurate student scheduling, vacancy updates, and compile monthly reports.
- Assist with budget management, student liaison, and record keeping.
- Handle general administrative tasks, contractor liaison, and ensure financial record maintenance.
- Develop and maintain professional relations with vendors, contractors, and external contacts.
- Supervise property personnel, conduct performance appraisals, and implement training programs.
- Ensure cleanliness, security, and maintenance of work areas; complete special projects and report on operational metrics.
- Support public relations and marketing efforts, participate in meetings, and contribute to planning and service development.
- Skills Essential to the Role
- Matric certification required; additional property management or maintenance training preferred. Student accommodation experience is essential.
- Deep understanding of property management and student accommodation procedures, budgeting, service contracts, and leasing agreements.
- At least four years of related experience. Strong leadership, organizational, problem-solving, and communication skills. Proficiency in maintenance equipment and computer applications.
- Ability to relate to student needs, be technologically proficient, and influence and guide others.
