Job Description
To assist the Laboratory Administrator in effectively overseeing the administrative functions of the division as well as maintaining customer communication.
- Maintaining the LIMS system.
- Complies and conforms to the laboratory quality management system (ISO17025 and SANAS).
- Adhere to all quality and safety requirements of the SGS management system.
- Perform any other reasonable tasks as assigned by the line manager.
- Printing and emailing of test reports.
- Invoicing completed work as per agreed rates.
- Assist department with general administrative tasks (filing, copying, creating customized reporting templates, reconciliations, updating spreadsheets).
- Assist department with maintaining a status of outstanding work and following up with the lab regarding expected reporting dates.
- Assist Section Manager with contract review and proposals.
- Assist with and coordinate customer enquiries/queries.
- Assist in the monthly stock counts within the department.
- Assist with monthly payroll duties.
Qualifications
Education:
Experience:
- Minimum 2 years’ experience in an administrative position.
- A laboratory background would be an advantage.
- Chemistry-related qualification would be an advantage.

- Report health, safety, and environmental hazards, incidents/accidents, and near misses to the supervisor or relevant authority.
- Apply the Check Status process and use the Stop Work Authority whenever risk controls are not clearly established and understood.
- Observe and report any faulty or non-functioning apparatus or equipment and deviations from process/protocols/work instructions.
- Assist in investigations.
- Ensure all proper procedures and work instructions are followed.
- Assist with training of employees where required.
- Maintain good housekeeping practices in all work areas.
- Participate in and adhere to all HSE procedures, training, and toolbox talks.
- Perform any other reasonable tasks as assigned by the line manager.
- Maintain a clean working environment.
