Our client is a market-leading estate agency in London, known for delivering exceptional property services across the UK. As they expand their remote operations, they are hiring a Tenancy Manager to play a vital role in ensuring the seamless running of their high-performing Lettings Department.
This remote Tenancy Manager position is a key role in the residential lettings lifecycle, combining tenancy administration, relationship management, and compliance coordination.
You will manage a portfolio of UK landlords and tenants, overseeing everything from tenancy renewals to end-of-tenancy processes, ensuring regulatory compliance and maintaining premium service standards.
Though remote, youll be fully integrated into the Lettings team across the UK and Cape Town, collaborating closely with the Lettings Director to support strategic growth.
Manage the renewal process for a portfolio of rental properties, including legal documentation and negotiations.
Ensure all compliance documents are up-to-date and legally valid at renewal.
Serve as the main point of contact for tenants giving notice, coordinating with landlords and initiating the end-of-tenancy process.
Serve Section 21 notices and other legal notifications when required.
Oversee check-out procedures and deposit releases for non-managed properties.
Deliver regular monthly reports on tenancy renewals and terminations.
Handle ongoing landlord and tenant queries and liaise with the Property Management and Lettings Accounts teams.
Provide full administrative support to the Lettings Director.
Ensure quality control of all internal documentation and processes.
Answer and direct incoming calls professionally.
Prepare accurate correspondence for valuations, new instructions, and move-ins.
Create property marketing materials to attract high-quality tenants.
Assist with deal progression and pre-move-in coordination with property managers.
Manage external vendor communication and invoice processing.
Keep the company CRM/database fully updated.
Support digital reputation by helping improve Google Reviews for the Lettings office.
Minimum 2+ years of experience in Tenancy Coordination, Lettings, or Property Management (UK property market preferred)
Strong knowledge of UK lettings legislation and compliance (e.g., Section 21, deposit handling)
Excellent administrative and time management skills
Impeccable attention to detail
High level of written and verbal communication
A customer-first mindset and calm, solution-focused attitude under pressure
Self-motivated, proactive, and able to work independently and collaboratively
Experience using property management software and CRMs (e.g., Reapit, Fixflo, or similar)
Monday to Friday
9am 6pm SAST (During UK Summer - BST)
10am 7pm SAST (During UK Winter - GMT)
1 in 3 Saturdays | 9:30am 5:00pm (additional pay provided)
