Overview
A creative and agile marketing agency is seeking a part-time remote Bookkeeper / Accountant, to support them during their busy season from November (20 hours per week). Working closely with the Financial Director, you will ensure financial processes run smoothly, payments are on track, and financial records remain accurate, enabling the team to focus on delivering exceptional, content-driven campaigns.
Suitable candidates would need to reside in Cape Town as the client would prefer occasional visits to the office.
Responsibilities
- Perform bookkeeping tasks, including reconciliations, invoicing, and expense tracking
- Manage accounts payable and receivable
- Maintain accurate and up-to-date financial records
- Support budget tracking and project-based cost management
- Prepare ad-hoc financial reports as requested
Accounts Payable
- Review, verify, and process supplier invoices on Chase and Xero.
- Prepare weekly and ad-hoc payment runs (with all the necessary approvals).
- Reconcile payments and resolve outstanding balances with vendors.
Accounts Receivable
- Create and send accurate invoices based on project schedules and contracts.
- Manage collections while keeping client relationships warm and positive.
- Track receivables and generate insightful reports for internal stakeholders.
Reconciliation & Reporting
- Reconcile accounts payable/receivable sub-ledgers with the general ledger.
- Prepare monthly balance sheet reconciliations.
- Support month-end and year-end closing processes.
Process Improvement
- Spot inefficiencies and implement smarter ways of working.
- Assist in maintaining and upgrading financial systems and controls.
Collaboration
- Work closely with the project managers, account teams, and clients to ensure financial clarity across the board.
Requirements
Essential Skills
- Proficiency in accounting software like Xero, and ideally Chase (or similar project management tools).
- Strong knowledge of accounting principles and regulations.
- Familiarity with agency contracts, billing practices, and project-based workflows is a plus.
- Experience with project-based accounting and WIP (work-in-progress) reporting is highly desirable.
- A proactive approach to problem-solving and process improvement.
Experience Required
- 3+ years in an accounting or finance role, ideally within a creative agency or project-based environment.
