Job description

To ensure client satisfaction is maintained at all times and to support the relationship manager with portfolio management as per the SLA with the client.

Duties & Responsibilities

  1. Correspond: Liaise with various stakeholders involved in building maintenance, including contractors, and request payment approvals via the required channels.
  2. Capture Payments: Process all relevant payments and reimbursements approved by the relationship manager.
  3. Create Journals: Create journals as instructed by the relationship manager to process reimbursements to owners, ensuring all allocations are correct and accurate in relation to the trust accounts.
  4. Compile Monthly Reports: Compile monthly reports and invoices and save them to the database.
  5. Upload Website Documents: Ensure all complex websites are updated monthly with the latest documentation and information, and that all necessary documentation for audits is uploaded to the KSI website.

Qualifications

  • Grade 12 High School Diploma or GED
  • Home-Owners Association certificate (advantageous)
  • Degree/Diploma (advantageous)

Experience

  • Minimum 2 years experience in sectional titles environment and Home-Owners Associations
  • At least 2 years in administration, including working with Excel, Word, and Outlook

Additional Responsibilities

Liaise with contractors, owner-care consultants, relationship managers, and trustees to ensure building maintenance aligns with the SLA.

Handle insurance claims by liaising with brokers, completing claim forms, obtaining invoices and incident reports, and ensuring timely and accurate payment allocations once insurance payouts are received.
