Function Summary
The Regional Finance Specialist provides essential day-to-day finance support to the regional business, ensuring project financials are accurate, timely, and aligned with company processes. This role is hands-on and detail-oriented, focusing on invoice generation, expense processing, and reconciliation to reduce administrative load from senior finance and client-facing teams. Strong systems familiarity, attention to detail, and responsiveness are key to success in this role.
Key Responsibilities
1. Invoicing and Revenue Support
- Maintain and monitor invoicing schedules for project fees and expenses.
- Generate and send client invoices, resolve delays, and escalate late payments where necessary.
- Ensure billing aligns with signed Statements of Work (SOWs).
- Work closely with client-facing teams to confirm all required billing actions are complete.
2. Project Expense Management
- Ensure that educator expenses are processed promptly and ensure appropriate documentation is retained.
- Support the accurate allocation and tracking of project expenses.
- Assist with faculty work order tracking to ensure all educator agreements are in place, issued, and signed.
3. Data Entry and Reconciliation
- Reconcile unbilled and billed revenue and report discrepancies to the Regional Accountant
- Support basic financial checks, reconciliations, and clean-up tasks as required.
4. Reporting and Admin Support
- Compile and share standard financial reports for project managers (e.g. unbilled revenue, outstanding expenses).
- Assist with document gathering and audit preparation as needed.
- Perform data clean-up and help maintain consistent data hygiene across systems.
5. Collaboration and Process Support
- Liaise with Contracts, Accounting and Tax & Regulatory teams to verify compliance with internal policies.
- Act as a point of contact for day-to-day finance queries from client-facing teams.
- Support finance process improvements by flagging repetitive issues or bottlenecks.
Qualifications & Experience
- Minimum 3–4 years of experience in a finance administration, accounts assistant, or project support roles.
- Bachelor’s degree in finance, accounting, or related field.
- Solid understanding of basic finance principles and revenue processes.
- Experience working with ERP systems such as D365 and expense platforms like Concur is highly advantageous.
- Familiarity with invoicing, expense management, and reconciliations in a project-based environment preferred.
