Job description

Purpose:

The purpose of this job is to ensure that all general reception duties are achieved daily by providing excellent internal and external customer service at the reception desk, ensuring customer satisfaction and promoting the business.

Key Responsibilities
  1. Open switchboard and perform general receptionist duties
  2. Answer the telephone, direct calls to relevant persons/departments, and take messages
  3. Provide secretarial support
  4. Maintain an adequate inventory of office supplies
  5. Manage the distribution of staff stationery
  6. Record all emailed transfers and stock orders in log books for branches and inter-branch
  7. Maintain a general filing system for all correspondence (emails, faxes, quotes)
  8. Manage diesel cards
  9. Monitor managers and staff schedules for lunch, leave, and sick leave, and report on schedule sheets
  10. Manage coffee machine and distribute coffee machine coins to staff
  11. Manage notice boards
  12. Resolve cash discount queries
  13. Check price changes and credit slips
  14. File shop account slips, stock adjustments, and staff memos
  15. Type and print A4 shelf talkers
  16. Participate in perpetual stock takes
  17. Perform any work-related tasks delegated by superiors
Requirements
  1. Matric or three completed Intercept courses totaling 120 credits
  2. Brights Induction (service excellence)
  3. Minimum of 2 years experience in a similar role
  4. Ability to handle pressure
  5. Problem-solving skills
  6. Effective communication skills (verbal & written) at all levels
  7. Planning, time management, and organizational skills
