Job description

Purpose:

To manage the switchboard and reception area and provide administrative support to the Protective Services Department.

Main Responsibilities (not limited to):
  1. Receives and transfers telephone calls and takes messages when necessary.
  2. Makes official outgoing telephone calls when requested.
  3. Greets visitors and directs them to the correct person.
  4. Arranges refreshments for visitors and ensures general housekeeping of the reception area.
  5. Manages safety equipment process for visitors and ensures visitors are inducted on SHE.
  6. Sets up and maintains a visitors procedure, liaising with security to ensure part ones are submitted and that no money, cell phones, or cameras are allowed on site.
  7. Ensures loading of information onto the intranet.
  8. Serves as intranet champion and assists employees with intranet queries.
  9. Attends to Communications Unit e-mails promptly.
  10. Assists with posting internal communications around the factory.
  11. Helps administer general notices and corporate information.
  12. Maintains the suggestion box and follows up on suggestions received to ensure feedback.
  13. Maintains a register of visitors to the CRC and their purpose.
  14. Keeps an up-to-date record of books in the library of the Communication Centre.
  15. Establishes and maintains a Hall of Fame as part of the Celebration Platform Initiative.
  16. Assists with conducting and capturing internal surveys.
  17. Assists with the compilation of the company’s official newsletter.
  18. Manages subscriptions and publications for the company.
  19. Creates, maintains, and records all company notices for approval and dissemination.
Qualifications and Experience:
