- Answer incoming calls promptly: Answer calls within three rings, direct them correctly to staff, and convey detailed messages accurately via email for unavailable staff. Messages should be taken for staff who are busy unless the customer insists on holding for a specific person.
- Greet visitors professionally: Receive visitors, including customers and suppliers, politely and ensure they are attended to promptly.
- Interact respectfully with staff: Communicate with staff professionally, obtaining outgoing cell phone and national telephone numbers as needed.
- Handle calls with respect and urgency: Treat all calls with respect and urgency.
- Maintain professional appearance: Follow the company's dress code, ensuring it is smart, appropriate, and unobtrusive.
- Manage courier parcels: Receive and distribute courier parcels as required.
- Manage phone communications: Answer, screen, and forward incoming phone calls.
- Maintain reception area: Keep the reception area tidy and presentable, stocked with necessary stationery and materials (e.g., pens, forms, brochures).
- Handle mail and deliveries: Receive, sort, and distribute daily mail and deliveries.
- Ensure office security: Follow safety procedures and control access via the reception desk, monitor the logbook, and maintain a monthly attendance register.
- Assist with scheduling: Update calendars and schedule meetings.
- Perform clerical duties: Carry out tasks such as filing, photocopying, transcribing, and faxing.
