Job description

Position overview :

The Receiving Inventory Coordinator is responsible for ensuring all inbound stock is accurately received, reconciled, and recorded in the warehouse system. This includes GRNs, addressing discrepancies, and verifying that stock conforms to the Product Master Data. The role also involves maintaining the accuracy of product records and ensuring seamless collaboration between receiving and inventory functions.

Requirements :

  • Matric (Grade 12) required; logistics / inventory qualification preferred.
  • Minimum 2 years experience in warehouse or inventory roles.
  • Experience working with ERP / WMS platforms (SAP, Sage, NetSuite, etc.).
  • Advanced Excel Skills (Pivot tables, lookups, etc.)

  • Match received goods against supplier documents and system entries.

  • Log, investigate, and resolve stock discrepancies (shorts, overs, damage).
  • Work with Procurement, Inventory, and Quality teams to close discrepancies.
  • Product Master Data Management
  • Verify that stock received matches Product Master Data (dimensions, packaging, configuration).

  • Capture and maintain dimensions and product attributes for all new listings.
  • Work with the Inbound Supervisor and Inventory Manager to ensure Product Master Data remains up to date.
  • Data Reporting & Documentation
  • Maintain real-time and accurate inbound stock records in the WMS.

  • Produce daily and weekly inbound inventory reports.
  • Support cycle counts, stock audits, and reconciliation processes.
  • Internal Communication & Workflow Coordination
  • Liaise with receiving staff, forklift operators, and warehouse supervisors.

  • Communicate delivery issues to the Inbound Supervisor.
  • Ensure a smooth flow from receiving to put-away in alignment with SOPs.
  • Compliance & Warehouse Standards
  • Follow food safety protocols and company hygiene standards.

  • Maintain proper recordkeeping (physical and digital) of all inbound-related documentation.
  • Support health, safety, and warehouse compliance goals.
