Job description

We are seeking a Quality Systems Administrator for the Pinetown, Durban area in KZN.

Key Performance Areas:

  1. Maintain compliance to IATF, ISO, ISO management system, regulations, legal requirements & ISO standards including Occupational Health & Safety regulations/requirements.
  2. Internal auditing to IATF, ISO, ISO requirements.
  3. Non-conformance notes – root cause analysis/problem solving/verification.
  4. Costing of non-conformance notes and reports.
  5. Conduct customer survey.
  6. Identify training requirements and setup/conduct training as necessary.
  7. Maintain and monitor SHEQ control standards/compliance and document system.
  8. Revising documents as and when required.
  9. Product audits.
  10. Generate PSW's/PPAP.
  11. Local and import claims.
  12. Claims upliftment notes.
  13. Monitoring of credit notes.
  14. Generating Hold report and chair hold meetings.
  15. Invoicing (stock control).
  16. Opening of 'hold' codes.
  17. SHE/First Aid/Firefighting Representative.
  18. Chair the health and safety meeting with SHE Representatives.
  19. Generate SHEQ Management Review reports.
  20. Test colour material with the use of an Elcometer & Erichsen Pint Borer and generate report.

Education and/or Work Experience Requirements:

  1. Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  2. Excellent computer proficiency (MS Office – Word, Excel, and Outlook).
  3. Must have Senior certificate.
  4. IATF, ISO & ISO certification.
  5. ISO Auditing Management Systems certification.
  6. Legal Compliance certification.
  7. PFMEA, APQP, PPAP, MSA & SPC certification will be of advantage.
  8. Must be able to use measuring equipment.
  9. Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  10. Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  11. 2-3 years SHEQ experience.

Essential Duties and Responsibilities:

  1. Perform internal audits for IATF & ISO as per the internal audit schedule, compile the audit report and all findings to be raised and issued to the relevant departments for corrective actions.
  2. Update and maintain all documentation to IATF & ISO as required.
  3. Monitor the holding bay and reject area.
  4. Generate report for review at the hold meeting.
  5. Compile, cost and submit all local & import claims.
  6. Claims feedback to be monitored on a daily/weekly basis.
  7. Receive offers from suppliers and compile reject notification forms and issue to sales, liaising with the supplier and closing off of claims.
  8. Receive credit notes from Suppliers, update system and address in Hold meeting.
  9. Stock control (invoice out) material scrapped in hold meeting for required locations.
  10. Carry out training as/when required and maintain, update all training records as needed.
  11. Conduct product audits on a daily/weekly basis.
  12. Generate PSW's/PPAP when required by the customer.
  13. Analyse non-conformance notes for root cause, problem solving and verification of implemented corrective & preventive action.
  14. Costing of NCN report, statistical analysis compiled and given to the Quality Manager.
  15. Email customer feedback on a yearly basis and the rating will be given to the Sales Manager.
  16. Assist with the development and implementation of IATF, ISO, ISO and Occupational Health & Safety requirements.
  17. Conduct and record SHEQ Risk Assessment.
  18. Chair the health and safety meeting with SHE Representatives and report all concerns to the Quality Manager.
  19. Compile SHE reports for Management Review.
  20. Maintain compliance with all company policies and procedures, regulatory/legislative requirements to quality, environmental and health and safety.
  21. Raise and problem solve non-conformance notes for internal errors as per non-conformance procedure QAG 10-02 and ensure closing off the non-conformance note.
  22. Request sample of colour material (every shipment), conduct test and generate report.
  23. Assisting with any ad hoc duties as required to ensure the effective operation of the Quality Department and of The Company as a whole.
