We are seeking a proactive, highly organised, and detail-focused Office Administrator to join our dynamic property management team.

You will work closely with landlords, tenants, and internal departments to manage a diverse portfolio, while ensuring seamless administration, lease management, inspections, communication, and reporting.

Key Responsibilities:

Your daily tasks will revolve around supporting and enhancing our property portfolio management.

  1. Handle all general administrative duties related to the property department.
  2. Ensure smooth workflow of documents, reports, and communication.
  3. Maintain up-to-date filing systems—both physical and digital.
  4. Liaise effectively with landlords and tenants on a daily basis.
  5. Address all client queries in a timely, respectful, and professional manner.
  6. Act as the first point of contact for tenant and landlord concerns.
  7. Assist in managing queries related to tenant and landlord account balances.
  8. Generate, reconcile, and send out monthly statements to all clients.
  9. Maintain meticulous financial records for each property.
  10. Draft, review, and renew lease agreements.
  11. Compile necessary addendums and mandates.
  12. Ensure all lease documentation meets legal and regulatory requirements.
  13. Collect and store FICA documents, inspection reports, and lease agreements.
  14. Ensure that tenant and property records are complete and compliant.
  15. File, label, and maintain digital files with consistency and precision.
  16. Assist with property inspections at move-in and move-out stages.
  17. Manage key handovers and track returns with full accountability.
  18. Liaise with maintenance teams and follow up on repairs and issues.
  19. Compile and submit monthly portfolio progress reports.
  20. Highlight outstanding items and follow-ups in your updates.
  21. Support senior management with data for month-end and performance reviews.

Requirements and Skills Needed:

  1. Strong communication skills – verbal and written, with a professional tone.
  2. Short- and long-term memory retention – essential for follow-ups and accuracy.
  3. Own reliable transport – for commuting to and from work (occasional travel for inspections).
  4. Ability to work under pressure and meet deadlines in a high-volume environment.
  5. Logical thinker with practical problem-solving abilities.
  6. Professional email etiquette and confident phone manner.
  7. Strong organisational skills and task prioritisation.
  8. Tech-savvy and proficient in MS Word, Excel, Outlook, and internal systems.
  9. Ability to multi-task and manage competing priorities without compromising quality.
  10. A calm, professional demeanor when handling client concerns or unexpected challenges.
