Job description

Requirements :

At least 8-10 years of experience in property portfolio management.

Minimum of 5 years of management experience.

Matric Certificate.

Management Diploma, preferably in property management, is highly recommended.

Property development experience is considered an additional advantage.

Responsibilities :

  • Ensure contractor duties for soft services, including gardens, parks, and heritage sites, are performed according to service level agreements.
  • Conduct proactive site visits with tenants, contractors, and facilities team, including weekends, to ensure lease compliance and proper property upkeep.
  • Liaise with Facilities Managers to oversee maintenance and repairs within approved budgets.
  • Support and guide soft service contractors to meet company standards.
  • Maintain positive relationships with tenants and address concerns promptly.
  • Assist Facility Managers with tenant installations, ensuring compliance.
  • Provide excellent service to tenants, responding to requests and problems in a timely, courteous manner, with 24-hour emergency coverage.
  • Ensure accuracy of turnover spreadsheets and identify potential risks.
  • Monitor controls related to other income sources, such as parking and recoveries, aiming to maximize income without compromising quality.
  • Monitor debtors and assist in following up on outstanding rentals.
  • Prepare and manage expenditure budgets to prevent overspending.
  • Handle property management documents, including contracts and leases.
  • Provide necessary documents to deal makers and legal teams, such as rental schedules and responsibility matrices.
  • Ensure new lease documents are complete and correctly processed, including annexures and resolutions.
  • Process and load lease agreements accurately on Nicor, ensuring compliance with all terms.
