Our client, a Property Developer specializing in a niche field, is urgently seeking a Property / Estate Manager to oversee their property portfolio in the Rosebank area.
The ideal candidate must be technically proficient to address minor tenant issues.
Property Manager duties and responsibilities include, but are not limited to:
- Point of contact:
- Serve as the company's representative and primary contact for tenants.
- Communicate all tenant complaints, issues, queries, and remarks to the caretaker.
- Maintain a copy of the complex rules.
- Handle tenant queries and issues, following proper procedures, and escalate to Head Office if necessary.
General Maintenance:
- Document, monitor, and manage all maintenance issues.
- Utilize the Red Rabbit ticketing system.
- Coordinate immediate repairs with staff if possible.
- Ensure job cards are signed off by tenants or companies.
- Discuss technical maintenance with the maintenance manager and obtain quotes for approval.
- Secure purchase approvals and manage procurement within budget.
- Take photos before and after maintenance for records.
- Conduct complex walk-throughs in the morning and afternoon.
- Supervise gardeners and cleaners, providing daily briefings and follow-ups.
- Ensure staff have necessary equipment and supplies.
Administrative Tasks:
- Send monthly shopping lists and monitor staff leave.
- Distribute payslips and manage staff registers for payroll.
- Supervise security personnel and CCTV operations.
- Perform perimeter checks and ensure fencing is intact.
- Maintain cleanliness of refuse areas and monitor utility readings monthly.
Additional Responsibilities:
- Manage office supplies and stock takes.
- Prepare weekly reports for Head Office.
- Participate in weekly meetings at Head Office.
- Coordinate stock transfers between complexes.
- Document and upload inspection reports, ensuring tenant and caretaker signatures.
- Perform pre- and post-inspections for tenant move-ins and move-outs, ensuring units are ready within 24 hours if needed.
