Job description

The incumbent shall be responsible for the following :

a) Lease Administration

  1. Actively seek out tenants to occupy vacant company Properties.
  2. Provide clients with application forms and ensure all application documents are complete and accurate upon return.
  3. Draw up lease agreements in consultation with Legal Services.
  4. Ensure tenants understand the terms of their lease agreements.
  5. Support and prepare submissions to the PAC for consideration.
  6. Ensure all internal processes are followed before tenants are given access to the property.
  7. Draft acceptance letters to tenants.
  8. Undertake property inspections (ingoing and outgoing) and handle tenant-related matters during the lease.
  9. Provide the Portfolio supervisor with a property status checklist.
  10. Maintain organized records of communications and documents.
  11. Proactively monitor and manage lease renewals well in advance.
  12. Handle problematic tenants through negotiations, debt collection, legal eviction, or lease cancellation.
  13. Conduct regular calls or visits with tenants (at least quarterly).
  14. Maintain professionalism throughout interactions.

Adhere to the company's Property Policies and Processes and uphold the company's image.

  • Provide relevant information to management as required.

b) Facilities Management

  1. Assess property condition at the start and end of lease periods.
  2. Coordinate with Facilities Management to evaluate repair and maintenance needs, obtaining quotes and approvals for tenant-performed repairs when necessary.
  3. Conduct regular property inspections (at least quarterly).
  4. Manage the filing and documentation related to each lease meticulously.
  5. Support initiatives of Supervisors, Regional Property Managers, Regional Managers, and Senior Managers.
  6. Visit tenants routinely to assess satisfaction.
  7. Maintain good relationships with tenants and service providers.
  8. Address customer queries related to rentals.

MINIMUM REQUIREMENTS

  • National diploma in commerce, engineering, legal, or a relevant field.
  • At least three (3) years of relevant work experience, with minimum two (2) years in property management, facilities management, or a related environment.
