Property Coordinator - Permanent, Blackwall (E14)
Hours: 40 per week, 08:30am - 17:30pm, Monday to Friday
Duties & Responsibilities
- Handle written and email correspondence related to property management.
- Plan and organise diaries and meetings.
- Inform attendees of meetings and prepare agendas.
- Attend team meetings to take minutes upon request.
- Attend grievance meetings and record minutes across the portfolio.
- Maintain electronic and paper filing systems to ensure efficient estate office operations.
- Liaise with internal and external stakeholders as needed.
- Assist with property management activities, including compliance data review, lease summaries, and infringement tracking.
- Conduct regular site inspections and report findings accurately.
- Support the production of reports related to service charge budgeting.
- Maintain landlord liabilities registers and assist with quarterly client reporting.
- Review correspondence and information before issuing to tenants.
- Communicate with residents and leaseholders as required.
- Track KPIs related to property management, including lease status, service charges, and operational issues.
- Proactively identify problems and suggest improvements.
- Ensure the resident database is current.
- Assist in preparing management packs and provide admin training.
- Support S20 preparation and issuance.
- Coordinate onsite projects, including information collation, deadline follow-up, and liaising with the Projects team and RSM.
- Oversee tasks related to the Building Safety Act and related programs.
Skills & Experience
- Exceptional written and oral communication skills.
- Strong IT skills, including proficiency in various software packages.
- Ability to work under pressure and meet deadlines.

- Experience in a project or property environment.
