Property Coordinator - Permanent, Blackwall (E14)

Hours: 40 per week, 08:30am - 17:30pm, Monday to Friday

Duties & Responsibilities
  1. Handle written and email correspondence related to property management.
  2. Plan and organise diaries and meetings.
  3. Inform attendees of meetings and prepare agendas.
  4. Attend team meetings to take minutes upon request.
  5. Attend grievance meetings and record minutes across the portfolio.
  6. Maintain electronic and paper filing systems to ensure efficient estate office operations.
  7. Liaise with internal and external stakeholders as needed.
  8. Assist with property management activities, including compliance data review, lease summaries, and infringement tracking.
  9. Conduct regular site inspections and report findings accurately.
  10. Support the production of reports related to service charge budgeting.
  11. Maintain landlord liabilities registers and assist with quarterly client reporting.
  12. Review correspondence and information before issuing to tenants.
  13. Communicate with residents and leaseholders as required.
  14. Track KPIs related to property management, including lease status, service charges, and operational issues.
  15. Proactively identify problems and suggest improvements.
  16. Ensure the resident database is current.
  17. Assist in preparing management packs and provide admin training.
  18. Support S20 preparation and issuance.
  19. Coordinate onsite projects, including information collation, deadline follow-up, and liaising with the Projects team and RSM.
  20. Oversee tasks related to the Building Safety Act and related programs.
