Job description

Introduction

We are currently recruiting for an experienced Project Manager based in either Gauteng, Cape Town, or KZN to assist with invoicing and the correct administration of projects.

All project phases are monitored, planned correctly, and clients are engaged constantly and consistently. Risks are managed effectively.

Description

Purpose of the Position:

  • Responsible for invoicing and correct administration of projects
  • Ensure all project phases are monitored and planned correctly

  • Maintain customer success in all project management activities
Primary Responsibilities for the Role
Administration
  • Create jobs on Service Manager and produce delivery notes
  • Process credit notes and price adjustments after director approval
  • Check, control, and sequence credit notes; ensure they are signed and re-raised if needed
  • Follow up with the Account Manager to create customer AR numbers if missing
  • Notify Account Manager of incomplete or incorrect AR customer information
  • Provide sales/customers with copies of invoices upon invoicing (on request)
  • Invoice courier charges, including UTI info and courier control sheet
  • File documents in sequential order and upload to Digital Cabinet
  • Resolve invoicing queries
  • Update and correct job codes weekly
  • Prepare pro forma invoices on request
  • Update the open job status report
  • Collaborate with the accounts department for accurate invoicing of software, labour, travel, and other charges
  • Arrange weekly project meetings with sales to discuss upcoming installations/projects
  • Assist sales with planning and resource scheduling
  • Maintain client folders and agreements, ensuring signed copies are filed
  • Manage all project documentation, including sign-off, DN, and project files on Digital Cabinet
  • Ensure timely return of project completion sign-off documentation
  • Follow up with Technicians on outstanding documents and timesheets
  • Reconcile installers' timesheets with original orders and invoices
  • Create suspension files per customer and handle accommodation bookings as requested
  • Develop project plans highlighting timings and risks
Pre-Installation
  • Ensure correct scoping and quoting
  • Schedule projects and obtain signed quotes
  • Meet with clients for pre-installation inspections as needed
  • Coordinate installation details, including dates, resources, and legal requirements
  • Manage pre-installation documentation and coordinate with third-party suppliers
  • Create training schedules and confirm with installers and clients
  • Prepare travel arrangements for installation teams
During Installation
  • Monitor project progress and resolve issues
  • Follow up post 'live day' and provide feedback
Post-Installation
  • Ensure client and install team sign-off
  • Hand over outstanding issues to Technical Manager
  • Ensure client database copies are available and support procedures are communicated
Minimum Requirements
  • Matric / Grade 12 / Equivalent
  • Proficiency in MS Word and Excel
  • Experience in invoicing/project administration (advantageous)
  • Fundamentals of Project Management qualification (essential)
  • PMBOK and Prince 2 qualifications (highly advantageous)
  • 3-5 years' project management experience
