Purpose of Role: Ensure effective project management that enables delivery from start to end, whilst maintaining optimal relationships with clients and learners, thereby ensuring ongoing business.
Key performance objectives:
- Build and maintain healthy relationships with core business customers assigned to the portfolio, ensuring ongoing business.
- Efficiently project manage all assigned projects from start to end to ensure quality delivery within the agreed timelines.
- Ensure that learning facilitation takes place and all requirements are in place for effective delivery.
- Ensure that all learners' evidence portfolios are completed on time to the appropriate quality standard.
- Assess all learners' portfolios on time, meeting the unit standard requirements to ensure certification.
Project coordinators should contact learners regularly and follow up on their commitments.
Responsibilities:
Client Liaison
- Ensure customer satisfaction with project roll-out and delivery.
- Measure satisfaction during and post-project.
- Hold monthly status meetings with clients and deliver monthly status reports to clients and the Operations Manager.
- Identify potential project risks, communicate, and proactively manage risks to prevent project derailment.
- Identify upsell opportunities and liaise with the sales team for cross and upselling.
- Communicate regularly with learners to inform them of client expectations and address concerns.
- Keep the client informed of issues.
- Understand client expectations regarding learner delivery, track performance, and communicate progress.
- Manage any issues or concerns.
Project Management
- Plan, implement, and control projects effectively.
- Formulate project plans involving necessary role players and ensure effective resource allocation.
- Implement and communicate roll-out plans and learning program timetables according to schedule, including authorized changes.
- Meet logistical requirements of the project.
- Anticipate problems, assess alternatives, and recommend solutions.
- Manage engagement performance against work plans and budgets.
- Report weekly on project status and progress to the Operations Manager.
- Maintain project files according to standards, including real-time updates of checklists during delivery.
Project Closure and Evaluation
- Prepare close-out reports and conduct debriefing meetings with clients to ensure continuous improvement.
- Archive project documents physically or electronically, ensuring they are organized and cleaned up.
Learning Facilitation
- Check training and learner materials on the portal one week before training starts.
- Prepare facilitator packs.
- Arrange flights, accommodation, car hire, and venues.
- Ensure facilitators are prepared and facilitate as per project schedules.
- Maintain quality standards and adhere to policies and processes.
- Manage classroom and facilities professionally.
- Protect company's intellectual and physical property and assets.
Evidence Gathering & POE Administration
- Create and update learner PoEs if done manually.
- Assess learner evidence according to schedule.
- Track receipt and dispatch of learner PoEs if manual.
- Ensure evidence collection within timelines.
Assessment and Moderation
- Conduct assessments as necessary, following company and Seta ETQA standards, policies, and procedures.
- Provide feedback to learners as per ETQA requirements.
- If the Project Manager is an assessor or moderator, perform moderation duties as required, adhering to standards and policies.
Skills, Experience, and General Requirements:
- General: Team-player, self-disciplined and motivated, positive attitude, able to perform under pressure, willing to multi-task, service-oriented, assist with additional tasks as requested by Operations Manager.
- Specialized: Decisive and proactive, effective collaborator, customer-centric, strong written and verbal communication skills.
Formal Learning Experience and Requirements:
- Successfully completed ODETDP
- Registered Assessor and Moderator
- 5+ years' experience in project management
The Project Manager reports directly to the Operations Manager.
