Overall purpose
The primary purpose of this role is to drive OryxAlign’s success by effectively executing assigned responsibilities and contributing to corporate objectives. This involves collaborating with team members, stakeholders, and clients to deliver high-quality results, creating a positive work environment, and continuously seeking opportunities for improvement. This role is expected to uphold the company’s values, demonstrate professionalism, and support the achievement of OryxAlign’s goals.
Based in Cape Town and working to the UK business day, the Project Coordinator independently delivers small jobs end to end within defined procedures and an agreed mandate, while providing PMO and coordination support to the UK Project Management team under general supervision. The role supports several concurrent jobs and projects across OryxAlign’s Professional Services portfolio, covering data centre, critical infrastructure and managed IT work in the UK and Europe. Working with clients, suppliers, subcontractors and engineers, the role coordinates schedules, resources, site permits and access, and maintains accurate project records and reporting to support delivery against agreed, often externally fixed, dates.
Job Overview
The role uses practical project knowledge, initiative and judgement to coordinate routine and varied activities within clear procedures and an agreed mandate. It manages competing priorities under general supervision and regular review, balancing planned work with reactive requests. Frequent stakeholder contact requires clear communication, influencing and negotiation, alongside practical guidance for colleagues without formal line-management responsibility. Financial and resource authority is limited, with issues escalated appropriately. Moderate pressure and externally fixed deadlines require sustained accuracy, as errors can affect delivery, costs and client service.
Key responsibilities
Work Order/Small Project Delivery
- Run work orders end to end within the agreed mandate, typically one to 5 days of engineering work such as a switch replacement, from order handover to closure.
- Check that orders handed over from Account Managers, including those for wider projects, contain the information needed to start delivery, and elevate gaps.
- Plan and schedule own work orders, book engineers, and act as the client’s day-to-day contact for these jobs.
- Confirm completion and acceptance with the client, close the job in ConnectWise, and hand over to Managed Services where the client has a supported service.
- Escalate additional scope, commercial change or any job likely to exceed the mandate to the Project Manager Team Lead before commitments are made.
Planning and resource coordination
- Maintain a forward view of planned engineering activity, covering skills, dates, locations and dependencies, across a portfolio of projects.
- Coordinate resource requests across the project portfolio with the Cloud and Network Engineering Team Leads, and raise clashes and capacity risk early.
- Coordinate project meetings, including scheduling, agendas, minutes and action tracking.
Site permits and access
- Prepare and submit permit, access and induction requests for engineers attending UK and European sites, and track them to approval.
- Coordinate RAMS submissions and equipment delivery, storage and returns.
- Confirm approvals are in place before engineers attend, and elevate anything outstanding.
Project records, reporting and governance
- Maintain project records, including plans, RAID, formal action and decision logs, acceptance, handover and closure, to the Business Management System standard.
- Maintain the change request and variation record on behalf of Project Managers.
- Keep project data current, chase time recording, and track cost, purchasing and invoicing progress.
- Produce Professional Services KPI reporting to an agreed timetable.
- Check documentation across the wider project portfolio against the required standard, report gaps to the responsible Project Manager, and gather evidence for ISO, client and supplier audits.
Team support and improvement
- Act as first point of contact for wider PMO queries about project status, scheduling and documentation, and direct them to the right owner.
- Capture lessons learned and propose practical improvements to process, templates and tooling.
Health and safety
- To complete relevant H&S training and follow appropriate H&S guidance in relation to the role.
Knowledge, Skills and Experience
- Experience in a PMO, project support or project coordination role, working to defined processes.
- Coordinating several concurrent jobs or projects end to end, keeping schedules, records and reporting accurate as priorities change.
- Arranging approvals, bookings or access requests with third parties against fixed deadlines.
- Maintaining structured records, such as Project Plans, RAID, action and change logs, that others can rely on, and handling confidential information appropriately.
- Intermediate Excel, and confident use of Microsoft 365 and a scheduling or project tool.
- Clear written and verbal communication with clients, suppliers and internal teams, including chasing commitments and knowing when to elevate.
- Experience in an MSP, IT professional services business or comparable delivery environment.
- Supporting UK or European clients and teams from another country or a shared service centre.
- Exposure to data centre or multi-contractor environments, including site permits, RAMS and inductions.
- Working knowledge of a PSA platform such as ConnectWise, and of project purchasing and invoicing.
- Enough infrastructure, network and cloud terminology to follow technical discussion and record it accurately.
Education and Qualifications
- A National Senior Certificate (Matric) with relevant further study, an equivalent NQF qualification or an international equivalent, with strong literacy and numeracy.
- An entry-level project management qualification such as PRINCE2 Foundation, AgilePM Foundation or APM Project Fundamentals, or equivalent working knowledge with a commitment to certify within an agreed period.
- Excellent written and spoken English, with the ability to communicate confidently and professionally with clients and colleagues, and produce clear, accurate documentation.
- A project management or business administration qualification at diploma level or above.
- ITIL 4 Foundation.
- A Microsoft fundamentals certification such as MS-900 or AZ-900.
