Project Coordinator

Africa-one Consulting & Research Pty Ltd is seeking a Project Coordinator to join their dynamic team. The team is performance-driven, maintains an open-door policy, and has a low staff turnover, emphasizing staff care.

Role Overview

The Project Coordinator will perform clerical tasks related to project management, including scheduling meetings, managing project documents and files, and assisting project engineers with various tasks.

Responsibilities
  1. Purchase Orders: Create and send purchase orders to Project Engineers and suppliers as requested.
  2. Filing Systems: Update current project filing systems.
  3. Request for Quotations: Assist in obtaining quotations for project items.
  4. Document Transmittals: Create and send via email, Dropbox, SharePoint, or other platforms as per client requirements.
  5. Managing Vendor Documents & Drawings: Update Vendor Document & Drawing Registers and track document deadlines.
  6. Project & Drawing Files: Create and organize project and drawing files with appropriate covers and dividers.
  7. Filing Documentation: Scan electronic copies and file hard copies of project documentation.
  8. Distributing Documentation: Distribute delivery notes and other documents to relevant staff.
  9. Packing Lists: Create, print, and laminate packing lists for shipping.
  10. Document Formatting: Assist engineers, quality department, and directors with typing and formatting documents.
  11. Inspection Photos: Send photo links to relevant parties and upload received photos to project folders.
  12. Visa Assistance: Assist with visa applications, including filling forms, collecting documents, and coordinating with visa agents.
  13. Project Closures: Ensure documentation is complete and organized for project closure.
  14. Reception Duties: Answer calls, take messages, and assist visitors when needed.
  15. Office Supplies: Purchase groceries or supplies, manage stationery, and organize archives.
  16. Support to Directors: Assist with various tasks as required.
Qualifications & Experience
  • Document Control experience preferred.
  • Minimum of 2 years in admin and/or document control roles.
