A leading organisation is searching for a skilled Project Coordinator & Executive Personal Assistant to support a Group Executive responsible for driving strategic initiatives across the organisation. This rare dual-role opportunity is ideal for someone who can seamlessly judge high-level coordination with meticulous administrative execution.
Responsibilities:
Project Coordination Duties:
- Assist in planning, executing, and tracking strategic projects and initiatives
- Coordinate cross-functional collaboration among internal teams, executives, and external stakeholders
- Prepare high-quality reports, presentations, and briefings to support decision-making
- Manage project timelines, deliverables, and resource allocation, ensuring strategic alignment
- Organise meetings, workshops, and strategy sessions; maintain records, agendas, and action items to ensure meetings are productive and outcomes are tracked
- Identify bottlenecks, risks, and opportunities for improvement within strategic projects
- Oversee budget tracking and resource management for strategy-related initiatives
Executive Personal Assistant Duties:
- Manage and maintain the executive's schedule, appointments, and travel arrangements, including flights, accommodations, and itineraries
- Arrange and coordinate meetings and events, including preparing relevant materials
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research, collect and analyse data to prepare reports and documents
- Act as a key liaison between the Group Executive: Strategy and internal/external stakeholders including managing emails, phone calls, and correspondence
- Oversee office supplies, equipment and other administrative functions to ensure a well-organised work environment for the team
- Manage and reconcile expense reports
- Handle confidential information with discretion
Requirements:
- Bachelor's Degree in Business Administration, Project Management, Strategy, or a related field.
- Minimum 3 years’ experience in project coordination and executive-level support.
- Strong understanding of strategic planning, business processes, and corporate governance.
- Exceptional communication skills, both written and verbal.
