Job Description: Project Scheduler/Coordinator
We are seeking a skilled Project Scheduler/Coordinator to join our team. The successful candidate will be responsible for:
- Assisting in the creation and planning of work breakdown structures using product backlogs or scope of work documents to ensure alignment with schedules.
- Facilitating and gathering information to build project/program schedules using waterfall or agile approaches.
- Engaging with stakeholders to define a flight plan with major deliverables and milestones.
- Evaluating existing schedules for inconsistencies and correcting them according to company standards and industry best practices.
- Managing the critical path and dependencies within and outside the program.
- Reporting variances from baseline schedules and critical path deviations to stakeholders.
- Aligning schedule costs with the approved financial business case.
- Maintaining schedule governance and exception reports.
- Regularly reporting on project progress, including planned vs. actuals.
- Collaborating with project managers to evaluate progress and implement corrective actions.
- Providing trend and forecast-based recommendations.
- Assessing scope change impacts on schedules and programs.
- Reviewing resource conflicts and capacity issues.
- Facilitating scenario planning and evaluating schedule impacts.
- Integrating external vendor schedules as needed.
- Conducting financial analysis, including burn rate, actual spend, and forecast.
- Monitoring baseline vs. actual spend to ensure budget adherence.
- Managing vendor contracts and alerts for expiry dates.
- Generating POs and processing invoices using SAP and Ariba.
- Setting up Confluence pages/dashboards for planning.
- Assisting with Jira SQL queries.
- Logging scope changes, risks, and issues.
- Ensuring resource allocations are correct from a capacity management perspective.
- Aligning actuals and forecasts monthly.
- Tracking scope, cost, and timeline percentage completions.
- Utilizing GT finance and JIRA Tempo reporting for cost tracking.
- Ensuring project resources have JIRA/Tempo licenses and boards are updated.
- Assisting with user/role access management.
Qualifications:
- Certified MS Project or higher training.
- Proficiency in MS Office applications: Excel, Word, PowerPoint.
- Project Management Certification.
- Agile training from a recognized institution.
- 3-5 years' experience in project/program planning and scheduling.
- Experience with MS Project or similar tools.
- Strong skills in critical path method, PERT analysis, and earned value management.
- Strategic planning abilities for schedules and flight plans.
- Excellent communication skills.
- Ability to maintain relationships with internal teams and external vendors.
