Job Description

  • Project Administration
    • Maintain and update project documentation and records across systems (e.g., SharePoint, DT Server, Doxis, or similar future systems).
    • Prepare supporting documents, administrative overviews, and ensure alignment with internal workflows.
    • Track project timelines, milestones, and deadlines to ensure timely execution.
    • Generate and compile project reports and progress updates for internal stakeholders.
    • Support the Project Management Office (PMO) during project commercialisation phases.
    • Verify and coordinate contract approvals with project developers.
    • Capture and update databases of project conditions of approval.
    • Maintain organized and accessible digital and paper-based filing systems.
    • Arrange and coordinate meetings and events, including agendas and minute-taking as required.
    • Use required software for presentations, document formatting, spreadsheets, and reporting.
    • Monitor and manage office supplies for the project team in coordination with the Office Manager.
    • Coordinate travel logistics for the Project Development team, including bookings, itineraries, and expense tracking.
    • Support financial administration, including processing invoices, tracking purchase orders, credit notes, and ensuring alignment with budget controls.
  • Land Administration
    • Maintain and organize land-related documentation (lease agreements, servitudes, resolutions, and correspondence).
    • Ensure proper physical and digital storage, filing, and retrieval of all land documentation.
    • Coordinate the collection and filing of signed agreements and supporting documents from consultants and landowners.
    • Track and update databases for land agreements, prospecting rights, and GIS-related tools.
    • Monitor key dates, including contract renewal deadlines and conditions of approval related to land use.
    • Assist in preparing consultant packages and landowner engagement kits for field teams.
    • Support the execution tracking of legal agreements with landowners and third parties.
    • Liaise with Legal, GIS, and Project Development teams to ensure aligned workflows and document control.
    • Assist with onboarding and document sharing for new land consultants and third-party contractors.
    • Provide general administrative support to the Land Portfolio Manager and Land team.
Qualifications

  • Specialization
    • Proven experience in project or administrative support roles, ideally in infrastructure, renewable energy, or related sectors.
  • Type of training
    • Diploma or degree in Administration or related field
  • Relevant professional experience
    • 3 - 5 years relevant experience, ideally within in the renewable energy sector
  • Additional qualification(s)/evidence
    • Postgraduate Qualification preferred.
